Haute Plank is a high end European Hardwood flooring Brand located in Scottsdale, AZ. We are looking for a highly organized and proactive Executive/Personal Assistant to support our CEO in both professional and personal matters. This is a unique opportunity to work closely with our CEO and play a key role in the day-to-day operations of the company.
Key Responsibilities:
- Executive Support:
- Manage and prioritize the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Coordinate and organize internal and external communications, including emails, phone calls, and correspondence.
- Prepare agendas, presentations, and reports for meetings with the CEO.
- Act as a liaison between the CEO and other members of our team.
- Personal Support:
- Manage personal tasks for the CEO, including but not limited to scheduling personal appointments, family events, and travel.
- Handle confidential information with discretion and professionalism.
- Assist with personal errands and day-to-day needs as required.
- Manage household calendar
- Project Management:
- Oversee special projects as assigned by the CEO, ensuring deadlines are met and tasks are completed efficiently.
- Track and follow up on action items and projects to ensure progress.
- Maintain detailed records of ongoing tasks and initiatives.
- General Office Support:
- Coordinate office logistics and supplies for the CEO’s office.
- Assist with event planning, both professional and personal, including meetings, conferences, and social events.
- Provide ad-hoc administrative support to the executive team as needed.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership (3-5 years preferred).
- Exceptional organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and various communication tools (Slack, Zoom, etc.).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive, detail-oriented, and adaptable to changing needs.
- Experience managing calendars, travel, and administrative tasks for executives.
- A high level of professionalism and maturity, with a positive attitude and strong work ethic.
Bonus Qualifications:
- Experience in the importing and sales sector.
- A background in project management or event planning.
- Proficiency in additional software tools (e.g., Google Workspace, Notion, etc.).
- Experience with CRM and inventory management
- Foreign language proficiency (optional, if relevant for the CEO’s needs).
