Description

SUMMARY.

Reporting directly to the Chief Executive Officer (CEO), the Executive Project Manager will be responsible for leading and managing high-profile projects critical to the company's strategic objectives. The Executive Project Manager will provide support to the organization by managing projects of varying complexities and timelines. This role will coordinate with many stakeholders to plan, implement, and track projects and programming for the agency. The successful candidate will play a pivotal role in driving project execution, ensuring effective communication, and delivering results that align with the company's vision.

ESSENTIAL DUTIES AND RESPONSIBILITIES.

  • Project Leadership: Take charge of major projects from inception to completion, providing strategic direction, setting clear objectives, and ensuring successful delivery within set timelines and budgets. Manage multiple concurrent agency-wide projects of varying complexities in accordance with current policies and procedures as assigned. Prioritize project portfolio based on alignment to the organization’s strategic plan and operational goals.  Proactively meets with departments to gain information on needed operational projects and incorporating those into the Strategic Plan.
  • Prioritization: Builds annual prioritization of projects for the organization as approved by the CEO to ensure visualization and communication with executive leadership.
  • Collaboration: Work closely with cross-functional teams, stakeholders, and executive leadership to understand project requirements, scopes, goals, and deliverables, including project dependencies, project plans, budget proposals, communications plan, project timeline and milestones. Gain alignment and facilitate decision-making processes. Escalate decision making to the CEO or involve the CEO in meetings as needed.
  • Resource Management: Efficiently allocate resources, including personnel, budget, and technology, to optimize project performance and deliverables.
  • Risk Management: Work with Legal and Compliance to identify potential risks and develop comprehensive mitigation strategies to minimize project roadblocks and ensure the successful achievement of project goals.
  • Project Planning: Develop detailed project plans, outlining tasks, timelines, and milestones, and ensure that projects are executed in accordance with the established plan.  Coordinate project team activities and interfaces with associated department personnel to include scheduling meeting times and locations, taking meeting minutes or notes, developing presentations.  Identify stakeholders, document requirements and specifications associated with project assignments.
  • Communication: Maintain open and transparent communication with the CEO and other key stakeholders, providing regular project updates, status reports, and progress assessments.  Exchange information, data, and ideas with project team participants in an effective way to drive collaboration and optimization of projects.
  • Performance Evaluation: Develop and maintain tracking of project data relevant but not limited to monitoring cost, schedules, performance, risks, and issues and report the status of ongoing projects to organizational leaders. Monitor project performance metrics and key performance indicators (KPIs) to assess project success and make necessary adjustments to improve outcomes.
  • Problem Solving: Proactively identify challenges and bottlenecks during project execution and implement innovative solutions to overcome them.
  • Continuous Improvement: Promote a culture of continuous improvement within the project teams, identifying areas for enhancement and implementing best practices.
  • Advisory Role: Act as a trusted advisor to the CEO, providing insights and recommendations on critical business initiatives and projects.
  • Quality Control: Ensure project deliverables meet high-quality standards and align with the organization's values and brand identity.
  • Change Management: Facilitate smooth transitions during organizational changes, mergers, or acquisitions, ensuring minimal disruption to project timelines and objectives.
  • Complete additional duties as assigned, including coordinating special events for the CEO related to critical projects and/or relationships.

Qualifications


EXPERIENCE & EDUCATION

  • Bachelor’s degree in business administration, Project Management, or a related field or equivalent work experience.  PMP (Project Management Professional) certification is a plus.  Demonstrated experience with these fields will be considered in lieu of a degree.
  • Proven experience as a Project Manager or in a similar executive-level project leadership role. 
  • Prior experience working in nonprofits is preferred.

  • Knowledge of project management methodologies, tools, and best practices.
  • Solid understanding of business operations, financial management, and strategic planning.
  • Ability to work independently, manage variable workloads, and meet deadlines.
  • The ability to maintain confidentiality of sensitive information and matters.

 

CERTIFICATES, LICENSES, REGISTRATIONS.

Preferred candidates will possess a valid Texas Driver’s License, a safe driving record, reliable transportation and proper insurance coverage on automobiles used for work. Monthly reimbursement for applicable and documented work-related expenditures will be provided. Travel within the city and its surrounding areas may be required.

WORK ENVIRONMENT.

The noise level in the work environment is usually moderate, and this position may occasionally require tasks be performed in non-climate-controlled environments.
