Job Description – Receptionist/Front Desk
Position Objective:
To serve as the initial point of contact for all individuals presenting in person, online, or via phone to the Practice and to respond to their needs in a professional, efficient and compassionate manner. To serve as the professional and welcoming first impression and face of the practice to all patients, family members, and vendors. To assist management in meeting the business needs of the Practice. This position reports directly to the Office Manager.
Position Responsibilities:
The following delineation of job responsibilities are intended to reflect the major duties of this job. Other responsibilities may be assigned as deemed necessary and appropriate.
- Greet and respond to the needs of all patients, guests and vendors who come to the Practice.
- Patients: Complete confidential patient registration and intake process.
- Establish patient account in the EMR system from information received from referring physician’s office.
- Enter patient demographics, insurance information, and patient appointments into the medical record (EMR) with a high degree of accuracy. Obtain copies of insurance cards and driver’s license.
- Obtain signatures on all required Practice paperwork.
- Perform patient insurance verification.
- Obtain patient prior authorizations when necessary.
- Distribute Practice brochures, surveys and information as appropriate.
- Notify clinical staff of patient’s arrival.
- Guests: Respond to questions and provide them with guidance or seek assistance from another staff member who might more appropriately address their needs.
- Vendors: Address questions and/or accommodate drop offs and signature requests. Seek assistance from management if any issues arise.
- Answer all incoming phone calls. Screen and handle, redirect to more appropriate staff or take complete message for a return call. Document into the EMR system when necessary.
- Prepare patient paperwork/charts for Practice visit. At least one day before a patient’s visit, compile all paperwork needed for the registration process and initiate their medical record ensuring the presence of all necessary content and information.
- Maintain patient medical records by scanning and filing all incoming patient related paperwork in the appropriate section of the patient’s EHR.
- Send patient reports to referring physician as needed.
- Compile all required billing information/paperwork and ensure delivery to billing company. Ensure daily compilation of required billing paperwork for each patient seen in the Practice. Reconcile to daily schedule noting any cancellations, no-shows and rescheduled appointments.
- Review and ensure each patient visit is complete, and submit for billing.
- Maintain log of all center pathology samples and submit readings to billing company when received.
- Respond to tasks/inquiries from billing company. Assist with requests for outstanding billing information or patient information.
- Receive/process incoming patient payments. Take payment and generate receipt.
- Counsel patients concerning their accounts when necessary.
- Process credit card payments as requested by patient and/or billing company. Forward receipts to Office Manager.
- Reconcile payments and prepare daily deposit per established policy and procedure.
- Make deposit at the end of each business day.
- Maintains strict compliance with HIPPA and patient privacy.
- Gather, sort and distribute incoming mail.
- Process any medical record requests according to established policy and procedure. Maintain log on same.
- Maintain a clean, organized, and welcoming waiting room during business hours.
- Maintain adequate inventory of business office supplies.
- Provide oversight of business machine usage and repair. Request appropriate maintenance through Office Manager when appropriate.
- Adhere to and support the mission, vision, values, goals, objectives and policies.
- Perform other tasks as requested by the Office Manager and/or the Owner of the Practice.
Position Qualifications:
Successful candidates will have a minimum of a High school diploma or GED. Ability to type a minimum of 40wpm, use standard office equipment, and effectively navigate a computer. Strong ability to multitask and manage time efficiently. Strong ability to work under pressure and maintain professionalism. Experience with EMR systems preferred. Knowledge of medical information and insurance guidelines is necessary. Strong phone skills and customer service skills. One to two years’ experience in a medical office setting required.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
Expected hours: 35 – 40 per week
