Haverford College invites applications for our full-time (at least 37.5 hours per week), exempt, benefits-eligible Coordinator of Institutional Advancement opportunity. We have two open positions that support different teams as outlined in the description below

About Institutional Advancement

The next decade will be a time of significant transformation and growth as Haverford approaches the 200th anniversary of its founding in 1833. About the Position
The Coordinators of Institutional Advancement serve as crucial members of the Institutional Advancement (IA) team, contributing to the efficient functioning of the division by providing administrative and operational support. These individuals play a pivotal role in coordinating data, communications, and processes essential for successful fundraising and donor engagement efforts. The coordinators work closely with key stakeholders from the Advancement, Advancement Operations, Strategic Initiatives, Gift Planning, Alumni and Constituent Engagement, and Advancement Communications teams to ensure successful planning and execution of fundraising initiatives. More specifically, one coordinator works closely with the Advancement Operations and Advancement Communications team while the other coordinator supports the Strategic Initiatives team and the Advancement team.

Primary Responsibilities

  • Assist members of the Institutional Advancement division in executing all levels of fundraising and comprehensive campaign initiatives, including the areas of annual giving, leadership gifts, major gifts, parent giving, advancement operations, communications, and strategic initiatives
  • Assist in preparing briefing and biographical materials and materials for presentations, meetings, and donor communications
  • Support the maintenance and integrity of the donor management database including acting as backup for gift and records processing
  • Generate queries and reports to support fundraising efforts and decision-making
  • Support the planning and execution of events by partnering with the Donor Relations and Stewardship team as well as the Special Events team
  • Provide administrative support including scheduling meetings, drafting and proofing correspondence, coordinating travel, reconciling expenses, and maintaining files and records
  • Collaborate with colleagues across departments to ensure alignment of divisional priorities and goals
  • Communicate effectively with internal and external stakeholders to promote fundraising initiatives and engage support
  • Support the Assistant Director of Advancement Operations in managing IA office needs and priorities
  • Other responsibilities as needed to meet the goals of Institutional Advancement

Line of Report: One Coordinator reports jointly to the Assistant Vice President for Advancement and Campaign Director and the Executive Director of Strategic Initiatives. The other Coordinator reports jointly to the Assistant Vice President for Advancement and Campaign Operations and the Director of Advancement and Campaign Communications. Neither position has any direct reports though both may oversee student workers and/or volunteers.

Minimum Qualifications

  • Bachelor’s Degree or equivalent relevant experience
  • 2 years of experience in an office environment

Professional Competencies

  • Excellent project management skills with the ability to prioritize tasks and meet deadlines
  • Ability to work independently and collaboratively in a team environment while building relationships with individuals from different backgrounds with diverse life experiences
  • Strong attention to detail and a high level of accuracy
  • Effective communication skills including proofreading
  • Technical proficiency in data entry and strong knowledge of Microsoft Office and Google Suites, plus capacity to learn new applications and platforms

Preferred Qualifications

  • Knowledge of Raiser’s Edge and Raiser’s Edge NXT
  • Experience working on a fundraising team
