Duties Summary

Operates various duplicating machines and copiers to reproduce a variety of materials for all departments and agencies; operates computers to format and download documents for printing; processes and distributes incoming, outgoing, and inter-departmental mail for the County of Hawai`i; and performs other related duties as required.

There is one (1) immediate permanent full-time vacancy with the Office of the County Clerk - Council Services in Hilo.

The eligible list may be used for other permanent and temporary vacancies as they arise during the life of the list. Temporary appointment may lead to conversion to permanent appointment.

Examples of Duties

  • Receives on-line work orders from departments via the mainframe system to reproduce reports, circulars, agendas, books, communications, bills, resolutions, documents, maps, charts, office forms, and other related material.
  • Reviews work orders and uses discretion on methods and techniques to utilize for reproduction to achieve desired results.
  • Formats materials using various software applications, e.g., power point, adobe, word, excel, publisher, etc.; checks quality and grade of paper; makes necessary adjustments to ensure proper shading, tone, and clarity of text.
  • Follows established priorities and deadlines when reproducing materials.
  • Collects and sorts all incoming, outgoing, and inter-departmental mail for the County; operates a vehicle and distributes mail to departments and agencies at various County locations.
  • Performs a variety of postal services and package mailing activities, such as sorting, weighing, packaging, delivering, metering, tabulating, and operating mail processing equipment.
  • Ensures County's compliance with postal regulations and standards in determining the most appropriate shipping and mailing methods.
  • Records shipping charges to department's accounts.
  • Maintains daily and monthly log for Xerox machine copy counts and postage meter count and balance.
  • Operates GBC Binding Machine to create bound spiral books.
  • Operates other auxiliary equipment such as paper cutter, staplers, stitcher / folder for booklets, and drill press; sharpens drill bits; glues forms in preparation for cutting; cuts to required size as requested.
  • Makes minor adjustments to duplicating machines; services and changes toner, waste bottle, drum cartridge, fuser web assembly, and modules, as needed.
  • Maintains stock levels of ink and forms; lifts and restocks cases of paper.
  • Performs other related duties as assigned.

Minimum Qualification Requirements

Training and Experience :

A combination of education and experience substantially equivalent to :

  • graduation from high school, and
  • two (2) years of general clerical experience, which shall have included the operation of personal computers using various software applications to prepare, format, and download documents, and included the operation of one or more types of duplicating machines or copiers to reproduce materials, and
  • possession of a valid State of Hawai'i driver's license (Class 3) or any other comparable driver's license at time of filing. (You will be required to submit your valid driver's license at time of hire.)
  • Examination : All applicants who meet the minimum qualification requirements will be assigned a score of 70 points. An education and experience evaluation will be conducted based on the applicant's training, education and experience as presented in the application.

    Knowledge of : capabilities and operation of various duplicating machines or copiers; methods and techniques used in the operation of duplicating machines or copiers; the operation of a personal computer and various software applications; office practices and procedures; and grammar, spelling, and word usage.

    Ability to : operate various duplicating machines and perform minor adjustments and maintenance; operate a personal computer and format documents for reproduction; lift boxes of paper weighing 50-70 pounds; maintain files and keep records of duplicated materials, postage meter counts, and shipping costs; explain uses of equipment and techniques to others; and deal tactfully and effectively with other employees.
