Job SummaryThis position supervises all areas required to deliver a superior education program at Schofield Barracks and Tripler Army Medical Center. Supervision is inclusive of staff processing of student admissions and registration, ensuring outstanding customer service in support of University students, faculty, and staff. This person must be able to liaise with the Army Educational Service Officer (ESO) and the staff at the Education Center. This person must also be able to develop and promote educational programs focused on the needs of the Army community. This person will also liaise with other HPU base offices and main campus entities on the scheduling of courses, generating reports, and combined marketing events. This person will assist students with interpretation of academic policies and programs of study as well as determine transfer credits from domestic and foreign institutions of higher education. This person will assist with processing student information through the ArmyIgnitED System (AI2.0) to include posting of Army and MYCAA grades, managing new course input, managing information on tuition adjustments and providing assistance on processing of tuition assistance for Army and the Department of Defense Spouse Tuition Assistance program (MYCAA) through AI2.0. This position will also assist with student recruiting and retention activities including intrusive advising as well as Faculty Feedback program.QualificationsMinimum Qualifications: •Bachelor’s degree or extensive (5 years) work experience as described in the Job Summary (above)•Demonstrate knowledge of Microsoft Office suite: Outlook, Excel, Word, PowerPoint, etc. •Excellent interpersonal, customer service, and communication skills•Reliable personal transportation to facilitate travel between military bases and Main Campus, with valid driver’s license and legally registered/insured personal vehicle. •Ability to obtain personal military credentials for access to U.S. military basesDesired Qualifications: •Master’s degree•Two years of experience in higher education with a focus on military, adult learners and/or distance learning education programs•One year academic advising experience•Experience with BANNER student information system•Familiarity with the ArmyIgnitED 2.0 (AI 2.0)•Familiarity with other military centralized tuition assistance management system e.g. Air Force Automated Education Management System (AFAEMS) or Navy College Management Information System (NCMIS) •Two to three years of administrative skills and office management experienceOther Qualifications: •Report to work obligations to support the department and may require work during HPU’s winter break, if necessary. •Must meet training and background check qualifications and comply with the Minors on Campus policy.•Ability to work independently and as part of a team•Able to work all shifts and extended hours. •Upon hire, candidate must have reliable transportation to all HPU worksites and other locations as required by the position. •Successful candidate will be able to work in an environment that utilize excellent time and stress management skills.•Ability to coordinate several projects simultaneously and adhere to established deadlines•Ability to perform weekend/holiday work and overtimeKey Responsibilities Army Program Management (35%)•Be the main Point-of-Contact with the Army Education Service Officer (ESO) regarding all educational aspects at both Schofield Barracks and Tripler Army Medical Center•Advise, inform, and cooperate with the ESO and the Education Office’s staff regarding students, faculty, classes, programs, and facilities•Responsible for making sure the Memorandum of Understanding (MOU) with Air Force Education is current, providing addendums or updates as necessary or as instructed by the Assistant Dean•Inform the CPS Dean and Sr. Director on matters pertaining to the coordinator’s campus enrollments as well as facilities, faculty, and student concerns•Manage ArmyIgnitED 2.0 (AI 2.0) including grade reporting for students using Tuition Assistance (TA) and MYCAA benefits as well as updating changes to degree programs, course offerings, tuition and academic term dates•Maintain a robust and competitive HPU presence at Schofield Barracks and Tripler Army Medical Center•Represent HPU at military award ceremonies and other Army events•Coordinate Military Campus Programs’ (MCP’s) term to term course schedules with CPS colleagues to ensure all academic program requirements and site MOU’s are met.•Coordinate and consult with support departments (Admissions, Bookstore, Financial Aid, Registrar’s Office, Business Office, Military/Veterans Center, and MCP National Test Centers) in support of all CPS programs•Coordinate with CPS Program Chairs and Senior Director of Base Operations regarding General Petitions on behalf of students•Maintain professional working relationships with the representatives of MOU schools and hold dialogues regarding military education including ways to counter challenges in military education•Manage the Base Assistant/Night Monitor program including hiring, staffing, scheduling, consolidating usage information for Director of Administration for billing purposes•Liaise with representatives of MOU schools to create and maintain classroom schedule at The Schofield and Tripler Education Centers•Inform and coordinate with the Facilities Manager on necessary repairs and maintenance of classrooms at The Schofield and Tripler Education Centers•Generate ongoing and ad-hoc reports as requiredAcademic Advising (35%)•Interpret and explain undergraduate and graduate academic programs, and policies governing matriculation to new, returning, and transfer students•Assure students and staff are following University policy and procedures in all aspects•Advise students pursuing on base and online degree programs•Correspond with students via email, telephone, virtual meeting, and face to face regarding: admissions; course selection and substitution; registration (including changes), recruiting and retention initiatives •Prepare and maintain worksheets which document the progress of students’ academic program completion•Assist with General Petition and BANNER processing of course substitutions•Act as students’ advocate via general petitions based upon individual needs and extenuating circumstances •Complete PTG audits and provide advisor approval for Petition to Graduates•Provide unofficial evaluation of transcripts to students•Carry-out projects regarding retention activities such as intrusive advising, assisting students on probation, orientation activities and seminars•Assist students with the admission process including submitting of transcripts, medical records and navigating tuition options•Assist students with the career search in coordination with the Career Services Center•Maintain professionalism by staying current on issues in American higher education•Meet with students to discuss questions regarding their evaluations•Assist students with complaints and grievances•Provide guidance to students on matters related to their course financing to include: Military Tuition Assistance, Veterans Education Benefits, Federal Financial Aid, and Military Spouse Career Advancement Account (MyCAA), Military Awards and Grants•Ensure correct student attributes/cohorts are applied to student Banner records•Contact students identified via Faculty Feedback, providing counseling to assist students on academic difficulties, document and keep track of their progress, and correspond with instructors regarding student’s progress•Review academic success contracts with students on probation, meeting with them regularly to assess progress Supervision and Training (15%)•Recruit, select, train, evaluate, coach and counsel qualified staff in order to successfully operate the programs at MCP campus•Ensure new employees complete Banner and FERPA training in a timely manner•Ensure new employees are trained on admissions, registration, VA and other processes and policies•Ensure new employees have access to Banner and other necessary programs to be successful in their job•Ensure all operational processes are completed properly and in a timely manner•Ensure staff, which includes Associate Coordinators and Base Assistants have clear understanding of HPU policies and procedures•Ensure all faculty and staff conform to the HPU culture by providing a professional and friendly environment for the conduct of University business•Manage computer lab administrative operations where applicable and work cooperatively with the eCBT team to achieve testing center objectives.Marketing and Program Development (10%)•Research, develop and implement educational programs to meet needs of students•Provide briefings upon request by military education specialists, articulating the University’s degree programs to individuals and groups•Participate in military events and educational fairs to promote HPU educational programs as necessary•Assist in recruiting and community service activities as necessaryPerform other related duties as assigned (5%)•Actively participates as an effective member of team by completing assigned duties, accepting additional assignments or reassignments•Assists with seasonal peaksThis description is not designed to list all activities, duties or responsibilities which may be required for this job.
