JOB/POSITION TITLE: Database Coordinator
STATUS: Non-Exempt
PRIMARY PURPOSE: Works to ensure our gifts and constituent records are entered accurately and timely. Ensures accuracy in the donor database system. Works with the Manager of Annual Giving to create and implement best practices for database integrity and protection of donor information.

ESSENTIAL DUTIES/FUNCTIONS:
- Gift Processing - Responsible for daily gift processing while ensuring financial and biographical integrity of the database. Records and tracks charitable gifts including the processing of cash and check payments, recurring gifts, in-kind gifts, credit card/online charges, recording of gifts via bank transfer, accurate valuation and recording of stock gifts and bequests, and follow-through and recording and documenting of pledges. With the Manager of Annual Giving determines appropriate processing methods and special handling requirements regarding special fundraising initiatives (e.g. major donor appeals, grants, special events). Reconciles gift entries across all platforms against Raiser's Edge on a monthly basis.
- Ensures Accuracy of Database - With the Manager, implements procedures to ensure accuracy and confidentiality of data. With the manager, ensures compliance with gift policies, database requirements, coding protocols and account assignments in order for each gift to be credited in a manner that enables the fulfillment of the donor's intent and the reporting requirements of the organization.
- Develops/Implements Policies and Procedures - Alongside the Manager, will develop and implement policies and procedures for gift processing, receipting, reporting and reconciliation for internal and external sources (including the Internal Revenue Service and the Hawaiian Humane Society's Finance Department), as well as internal database requirements for storing required information.
- Producing Reports - Responsible for a variety of gift reporting functions including daily and weekly income reports as well as reports for the Hawaiian Humane Society's Finance Department, Development Committee, Board of Directors meetings, Paw Prints newsletter, annual report and other specialized reports as requested. Responsible for generating mailing lists for direct mail, Paw Prints newsletter, annual report, holiday card mailing and other lists as requested.
- Acknowledgements - Responsible for timely and accurate production of acknowledgements and other donor correspondence as needed.
- Serves as back-up support for the Development Department as necessary.
- Undertakes other assignments at the request of the Director of Development to support the fundraising goals of the department or operational needs of the organization.
- Volunteer Support - Work with volunteers to support the needs of the development department. May train and provide direction and help to prioritize volunteer work on a daily basis.
JOB CONDITIONS:
- Work Environment: Indoors in an air-conditioned office; outdoors for special events. Office is on second floor; daily climbing up and down stairs.
- Equipment Use: PC compatible computer; laser printers; fax and copy machines; calculator/adding machine; credit card processor; scanner; mobile gift processing equipment.
- Work Hours: Regular work hours are 40 hours per week, typically a Monday-Friday schedule. Occasional support at special events after hours and on weekends.

QUALIFICATION REQUIREMENTS:
- Skills/Knowledge: Must be able to type a minimum of 50 wpm. Requires working knowledge of PC compatible computer, Excel and Word software. Must have superior working knowledge of Raiser's Edge software. Knowledge of Classy, Square, PayPal and other fund collecting software preferred. Ability to perform fundamental arithmetic operations (addition, subtraction, multiplication, division). Highly competent oral and written communication skills and knowledge of business correspondence. Ability to take accurate information over the phone; must be detail oriented. Must be able to follow written and verbal directions and instructions.

- Education/Training: Associates Degree required, Bachelor's Degree preferred.
- Experience: 2-3 years' experience working with and in Raiser's Edge database systems. Experience with high-volume direct mail program highly preferred.
