Role and Responsibilities
I. Front Desk operations:
- Manage incoming/outgoing front office transactions daily, such as:
- Greet and address visitors/clients upon arrival
- Answer mainline and re-direct callers to respective extension
- Check main voicemail daily and forward accordingly
- Open and distribute mail daily
- Scheduling FedEx pickups & placing service calls upon request, etc.
- Maintain conference room calendar and update the whiteboard weekly
- Log/distribute incoming faxes throughout the day
- Operates office equipment (copier, printer, typewriter, calculator, scan, etc.)
- File documents weekly
II. Standard Administrative Tasks: Support assigned Management Executives in all aspects of Administration; such as
- Process/File all applicable association registrations
- Prepare mailings for Board communications to ownership, individual owner compliance, annual meetings, budgets, etc.,
- Attend association annual meetings as assigned
- Maintain project working files/archive periodically, Board rosters, reference binders, etc.
- Tracks numerous documents such as insurance, audit, minutes, financial distribution, and various reports.
- Expected to back up other Administrative team member’s during PTO
- Performs other work-related duties as assigned.
Qualifications and Education Requirements
- Ability to read, write, speak, and understand English well.
- Three (3) years’ experience in a professional office environment or secretarial experience.
- Be able to multi-task and well-organized to manage workload for better efficiencies.
- Coursework in secretarial science through a high school or community college.
- Ability to type 55 WPM.
- Proficient in Microsoft Word and Excel programs.
*MUST currently reside in Hawaii
Job Type: Full-time
Pay: $18.00 - $25.00 per hour
Expected hours: 40 per week
