Our company will hire an Executive Assistant to support the Chief Financial Officer as well as provide administrative office management support. Our company’s CFO is responsible for client services, employee mentoring and management, and engineering design, in addition to managing company finances. This role serves as the eyes and ears for the CFO, connecting clients, projects, and critical business information to the CFO, ensuring meetings and marketing are efficient and effective and serves as a trusted partner to deliver the priorities of our business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CFO’s needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the company’s Leadership Team, project managers and employees. To perform this job successfully, the individual is expected to handle highly sensitive and confidential information while exercising professionalism and discretion.

Responsibilities Include:

Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications and invoices on the CFO’s behalf.

Support prioritization of the CFO’s daily tasks for morning review. This involves communication with project managers, construction manager, business manager, media review, and others for preparation of daily summaries. 

Organize and prepare for meetings, including gathering documents, scheduling, sending reminders, and organizing catering when necessary.

Managing the CFO’s calendar, including making appointments and prioritizing the most sensitive matters. Coordinate travel arrangements.

Facilitate hard-copy document preparation, printing and shipping.

Contribute to the team culture by assisting team members with other projects as workload allows, learning and maintaining processes & standards for each client/team as needed.

Schedule and supervise office consultants such as printing services, IT support, landscaping, repair, and janitorial services.

Qualifications:

Minimum of 2 years of professional experience applicable to this role; experience within the fields of Engineering, Construction Management, Utility, or Architecture preferred.

Proficiency in Microsoft Office software – specifically Word and Excel – as well as proficiency in cloud-based applications such as Dropbox, Microsoft 365 applications such as Teams and Planner, Outlook Email Applications, and Adobe Suite or familiarity.

Experience with graphic design and social media marketing preferred, but not required.

Valid driver’s license, as you may be required to perform work-related assignments outside of the office.

Sensitive information will be shared, and as such, an NDA may be required.
