What are the responsibilities and job description for the Villa Owner Relations Coordinator position at Hawks Cay Resort?
The Villa Owner Relations Coordinator is part of the Villa Operations team, reporting directly to the Senior Manager of Villa Operations. This position is responsible for the property management of villas in the Resort’s Rental Management Program and is focused on communicating with Villa Owners, other departments at the Resort, and coordinating with 3rd Party Vendors for proper maintenance of the Villas.
Some of the duties this role is responsible for:
- Answering phone calls.
- Managing the Department's organizational email box in a timely manner.
- Responding to all emails in a timely manner.
- Managing and coordinating a work order ticketing system for items in the villas.
- Making reservations for Villa Owners.
- Communicating with 3rd Party vendors and scheduling appointments.
- Routinely inspecting Villas and processing reports accordingly.
- Meeting with 3rd Party Vendors at Villas.
- Making keys for Vendors.
- Assisting in managing the Resorts membership program to include making membership cards and guest passes.
- Coordinating with housekeeping and engineering staff to schedule needed items.
- Communicating with Villa Owners regarding necessary maintenance and items that require attention.
- Assisting with placing Villas out of order for planned maintenance and for any emergency situations.
- Use problem solving skills to solve issues within the villa and take necessary steps to remedy.
- Assist in month end accounting reconciliation for the owner’s revenue.
- Occasionally communicate with guests of the Resort to assist in solving maintenance issues and needs.
- All other duties as required and assigned.

- Experience with Microsoft Office Suite – specifically Excel.
