What are the responsibilities and job description for the Catering Sales Manager position at Hawthorne Hotel?
The Hawthorne, an independently owned hotel and member of Historic Hotels of America, is looking to add a seasoned manager to our Sales & Catering team.
The sales manager is responsible for securing social business for the hotel including weddings, showers, memorials and fundraisers. Conduct site visits, utilize Caterease to manage and detail bookings, create contracts, assist with VIPs, greet guests while in house, and follow up after departure to ensure a seamless and positive guest experience.
Essential Functions
This role is responsible for creating a stress-free experience for couples and guests by working closely with vendors, preparing and communicating timelines in advance and ensuring that all details are executed flawlessly. This is a creative and dynamic role that requires a passion for event planning, along with a commitment to delivering an exceptional customer experience. Specific tasks include the following:
- Respond to inquiries via phone/email; conduct site visits
- Negotiate meeting room rental, function space, and hotel services within approved booking guidelines
- Accurately produce sales contracts and detail banquet event orders
- Ensure all bookings are carried out successfully from start to finish including booking, contracts, payments, preparing timelines, vendor communication, continued communication with clients, rehearsal schedules and event day prep
- Greet guests with professionalism, communicate cordially, and provide outstanding customer service
- Represent hotel at trade shows, community events, networking events
- Achieve personal and team goals as assigned

- Participate in a Manager on Duty rotation
Qualifications
- Associates or Bachelor’s degree in Hospitality or related industry preferred
- Proven track record in sales is a must - at least 3 years previous experience
- Previous hospitality sales experience preferred
- Requires effective business writing skills
- Familiarity with hotel management software (RoomMaster, Caterease) a plus

The Hawthorne Hotel operates 365 days a year, 24 hours a day, and 7 days a week. You may be required to work a variety of shifts, including weekends and holidays and the night of the annual Halloween Ball.
