Description

The Receptionist assumes authority, responsibility and accountability for the record keeping procedures and storage of all personnel records, payroll records, resident billing records in a manner consistent with facility policies and procedures, professional standards, state and federal laws and regulations for assisted / supportive living facilities. Establishes and implements policies to ensure that records are complete, accurately documented, readily accessible and systematically organized. Collaborates with Administrative Service Coordinator and Director to allocate service area resources in an efficient and economic manner to achieve facility objectives.


Days and hours vary. 20-25 hours per week.

Requirements

QUALIFICATIONS:

EDUCATION: High School Diploma or equivalent.

JOB KNOWLEDGE: Knowledge of mathematics and business procedures. Knowledge of computer/data bases and the ability to use a computer, laser printer, fax machine, copy machine, telephone, typewriter, and calculator.

OTHER: Ability to communicate with others, well organized and able to meet deadlines with accuracy. Should have good vision, good memory and good spelling skills.

DUTIES AND RESPONSIBILITIES:

1. Orders supplies and maintains operating records.

2. Handles Accounts Payable coding.

3. Update and maintain resident, personnel, and payroll files.

4. Handles banking at local level.

5. Handles payroll editing and input at facility level.

6. Handles mailing for facility.

7. Filing and other duties as deemed necessary.

8. Make sure all necessary documentation is in each employee file.

9. Make sure all employees have completed a pre-employment physical and TB test.

10. Responsible for new hire paper work including benefits.

11. Greet visitors and residents; provide tours of facility.

12. Answer and transfer incoming telephone calls.

13. Organizes in house charges for Accounts Receivable.

14. Reviews monthly statements for accuracy.

15. Work on call as necessary.

16. Point of contact for workers compensation.

17. Manages facility correspondence.

18. Manages FMLA, personal leave and vacation requests.

19. Assists to coordinate services for Select Rehab.

20. Maintain records, billing client accounts and reconciliation of amounts due and credit to residents.

21. Conference with resident and families to discuss matters of accounts and billing. Maintain confidentiality regarding all information received.

22. Assist residents as needed for the front desk

23. Maintain In-service Training records

24. Handle distribution of paychecks

25. Maintain inventory of all office, copy and mailing supplies and restock when necessary

26. Assist in other departments on an as needed basis

27. Assist with transportation of residents on facility bus

28. Update and maintain Newspaper List, Disaster Roster, Employee Roster

29. Assist Director in maintaining tax credit compliance; as applicable.

PHYSICAL DEMANDS:

l . Occasionally bends/stoops, squats and reaches above the shoulders.

2. Frequently pushes/pulls and lifts/carries 'up to 10 pounds.

3. Walks or stands up to I hour of the work day.

4. Possess good eye-hand coordination.

5. Ability to concentrate on moderate and/or fine detail with frequent interruptions required to perform necessary functions.

6. Ability to read and write English.

7. Possess hand-finger dexterity for computer data entry.
