POSITION DESCRIPTION
POSITION TITLE: SECRETARY - OPERATIONS DEPARTMENT
SUPERVISOR: Executive Director of Operations
PAYMENT RATE: According to Educational Support Staff Salary Schedule
QUALIFICATIONS:
- High School diploma or equivalent.
- Must have communications skills (reading, writing, speaking, telephone, and interpersonal.)
- Must be able to operate all office equipment.
- Maintain current TB testing as required by Health Department regulations (after employment offer is made).
ESSENTIAL FUNCTIONS:
- Provide administrative and office support to the Operations Department, ensuring effective communication with department personnel, school district staff, parents, and patrons.
- Answer phone calls and promptly dispatch maintenance staff for emergency requests.
- Operate the facility gate to grant access to delivery vehicles and patrons.
- Manage all aspects of the work order system, ensuring proper documentation and tracking of requests.
- Maintain accurate records of work orders to support Capital Planning efforts.
- Operate a forklift to unload semi-trucks and transport pallets within the warehouse.
- Process incoming district mail and freight, verifying package contents for accuracy.
- Ensure all packages are correctly labeled for delivery to appropriate school locations.
- Track equipment purchases and maintain records of equipment assignments to school buildings.
- Track fuel usage and mileage for all maintenance vehicles.
- Prepare and process requisitions and purchase orders to facilitate timely procurement of district equipment and supplies.
- Coordinate with the Print Shop to order and maintain an adequate supply of paper.
- Foster effective communication and collaboration with school district staff and community members to support a productive work environment.
- Maintain strict confidentiality regarding student and staff information to comply with legal requirements and uphold a professional work environment.
- Perform other duties as assigned to ensure the efficient and effective operation of the department.
PHYSICAL REQUIREMENTS/ENVIRONMENTAL CONDITIONS:
- Must occasionally work in noisy and crowded environments, with numerous interruptions.
- Requires prolonged sitting or standing, and use of equipment including repetitive motions and computer eye fatigue.
- Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials.
- Requires stooping, bending, and reaching.
