POSITION DESCRIPTION

 

POSITION TITLE: SECRETARY - OPERATIONS DEPARTMENT

 

SUPERVISOR: Executive Director of Operations

 

PAYMENT RATE: According to Educational Support Staff Salary Schedule

 

QUALIFICATIONS:

  1. High School diploma or equivalent.
  2. Must have communications skills (reading, writing, speaking, telephone, and interpersonal.)
  1. Must be able to operate all office equipment.
  2. Maintain current TB testing as required by Health Department regulations (after employment offer is made).

 

ESSENTIAL FUNCTIONS:

  1. Provide administrative and office support to the Operations Department, ensuring effective communication with department personnel, school district staff, parents, and patrons.
  1. Answer phone calls and promptly dispatch maintenance staff for emergency requests.
  2. Operate the facility gate to grant access to delivery vehicles and patrons.
  3. Manage all aspects of the work order system, ensuring proper documentation and tracking of requests.
  1. Maintain accurate records of work orders to support Capital Planning efforts.
  2. Operate a forklift to unload semi-trucks and transport pallets within the warehouse.
  3. Process incoming district mail and freight, verifying package contents for accuracy.
  4. Ensure all packages are correctly labeled for delivery to appropriate school locations.
  5. Track equipment purchases and maintain records of equipment assignments to school buildings.
  1. Track fuel usage and mileage for all maintenance vehicles.
  2. Prepare and process requisitions and purchase orders to facilitate timely procurement of district equipment and supplies.
  1. Coordinate with the Print Shop to order and maintain an adequate supply of paper.
  2. Foster effective communication and collaboration with school district staff and community members to support a productive work environment.
  1. Maintain strict confidentiality regarding student and staff information to comply with legal requirements and uphold a professional work environment.
  1. Perform other duties as assigned to ensure the efficient and effective operation of the department.

 

PHYSICAL REQUIREMENTS/ENVIRONMENTAL CONDITIONS:

  1. Must occasionally work in noisy and crowded environments, with numerous interruptions.
  1. Requires prolonged sitting or standing, and use of equipment including repetitive motions and computer eye fatigue.
  1. Requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials. 
  1. Requires stooping, bending, and reaching.
