What are the responsibilities and job description for the Assistant Director of Financial Aid position at Haywood Community College?
Primary Purpose of Position
Manage financial aid processes and supervise the financial aid specialists. Manage all Federal Title IV, Veterans educational benefits and state funds. Counsel students/potential students on all aspects of financial aid.

Essential Job Duties
- Responsible for the electronic retrieval of student FAFSA information and processing them in the College’s SIS.
- Follow Federal, State, and Institutional guidelines for financial aid eligibility while processing, awarding, and maintaining accurate student records.
- Monitor all student withdrawal requests and process R2T4 Calculations.
- Work with the business office to post R2T4 calculations on student accounts within prescribed Ed regulations.
- Serve as the second review for all verifications to ensure all files meet federal guidelines prior to awarding.
- Manage the NCCCS Child Care Grant.
- Manage any NCCCS scholarship funds (Golden LEAF, Wells Fargo, SECU, Finish Line Gant).
- Manage and award all Continuing Education scholarship funds received from the NCCC system.
- Oversee all processes of the North Carolina State Grant Program (NEXTNC, NCLCG).
- Prepare deposits for Agency Scholarships and reconcile scholarship accounts with the Business Office.
- Act as the liaison with the Foundation for all institutional scholarships and post them to student accounts
- Review SAP appeals and provide to the Dean of Student Services for approval.
- Review all Professional Judgement requests and provide to the Dean of Student Services for approval.
- Responsible for the accuracy of the financial aid transmittal roster. Set dates with the business office to run the FA refund process within ED guidelines.
- Monitor Pell overpayments and multiple reporting reports to ensure students are awarded properly.
- Assist with the monthly reconciliation of all Title IV funds with ED and the HCC business office.
- Manage daily operations of the financial aid office.
- Provide leadership to the financial aid specialists.
- Assist with hiring and training of financial aid staff.
- Assist with the development of workflow procedures.
- Responsible for maintaining the accuracy of the financial aid webpage and annual policy and procedures manual.
- Maintain a working knowledge of federal, state, and local financial aid guidelines by attending local, state, and national workshops and networking with financial aid colleagues.
- Work with community members to provide workshops and presentations on financial aid.
- Point of Contact for EAGLE review and processes.
- Assist with the development of the excellence plan for the financial aid office.
- Miscellaneous tasks: complete purchase orders, file student documentation, assist with registration, serve on campus committees, assist with graduation, and other duties as assigned.
- Operation of college-owned vehicles.
Qualifications
Required:
Bachelor’s degree and at least two years of Higher Education Financial Aid Office experience. Attention to detail and problem-solving skills. Ability to work independently without close supervision.
Preferred:
Community College experience; experience with Datatel Colleague highly desired; experience with budgeting and balancing accounts; strong communication skills both written and verbal; Microsoft Office skills (Word, Excel, PowerPoint); working with students, faculty, and staff.
