This role will primarily involve owning the data entry, compliance, and document management tasks associated with buying and managing properties within our portfolio.

Key Responsibilities:
- Accurately input and maintain property transaction data and related files into internal systems and databases, ensuring all information is up-to-date and correctly recorded.
- Track all stages of portfolio transactions and ensure that necessary documentation and approvals are in place at each phase.
- Assist with preparation and management of due diligence documentation and ensure all relevant parties have access to necessary materials.
- Review transaction files for compliance with internal policies, regulatory requirements, and contractual obligations.
- Assist with post-transaction tasks such as the updating of portfolio systems and financial reporting.
- Continuously assess current processes and recommend improvements to streamline transaction workflows, increase efficiency, and maintain data integrity.
- Assist with out of office coverage and responding to external parties when necessary.
- Minimum of 1-2 years of experience in transaction coordination, real estate administration, or portfolio management (or equivalent experience).
- Experience with real estate transactions, lease agreements, and compliance processes is highly preferred.
- Ability to work one Saturday per month.
- Extraordinary attention to detail with the ability to manage multiple tasks with short deadlines simultaneously in a fast-paced environment.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with transaction management software (e.g., Salesforce, Property Management Systems).
- Familiarity with real estate compliance requirements, legal terminology, and standard transaction documents.
- A proactive, solution-oriented mindset with a strong ability to anticipate and resolve challenges.
