Job Summary and Qualifications
POSITION SUMMARY:
Responsible for establishing the initial and on-going impression of the departmental functions to the patients, their families and/or caregivers, and all other customers. Responsible for the accurate and timely scheduling of patient appointments, the complete and accurate maintenance of medical records, and providing support to the clinical and administrative staff to enable the operations of the department(s) to run as smoothly as possible on a daily basis.
ESSENTIAL FUNCTIONS:
Appointment Scheduling
1.Schedules appointments within two days according to patient need and convenience or according to physician order
2.Accurately pre-register/register all upcoming scheduled patient appointments
3.Checks computer or medical record for future appointments and reschedules or cancels appointments as necessary
4.Informs new patients of arrival time, need to bring insurance cards, all medications, and photo identification. If time allows, mail patient appropriate forms
5.Records patients full name and appointment type (if applicable) in computer and utilizes scheduling software accurately
6.Obtains patient's authorization for release of medical records from other physicians, hospitals, clinics, etc., and secures copies of patient's medical records in a timely manner
7.Calls all scheduled patients the one working day prior to the appointment as a reminder
8.Copies schedule for next day and pulls all medical records on schedule
9.Prepares medical records with proper forms, ensuring completion of each form including the medical record number and application of all labels
10.Reviews all demographics with patient to ensure accuracy and completion
11.Copies all insurance cards and verifies current coverage
12.Maintains/Monitors required Insurance verification /authorization for all scheduled appointments.
13.Informs appropriate clinician of patients arrival
14.Informs staff of private patient issues
Missed Appointment Responsibilities
1.Notes in patient chart when unable to reach patient, patient chooses not to reschedule, or patient cancels appointment, notifies covering physician, sends appropriate letter.
2.Sends patient letter if unable to reach patient via phone, follows up with certified letter as instructed if no response to first letter.
3.Informs referring physician, via letter/fax, if patient misses initial visit, or if patient is unable to be scheduled.
Check-Out Responsibilities
1.Makes follow-up appointments as directed
2.Provides patient with reminder card for all future appointments
3.Collects any patient responsibility for the facility fee from those patients without a secondary insurance or whose secondary insurance does not cover the visit
4.Provides patient with receipt of transaction
5.Copies any patient instructions and places in the medical chart
6.Keeps all logs up to date and accurate
General Responsibilities
1.Greets patients and visitors using appropriate eye contact
2.Maintains lobby appearance
3.Delivers and checks mail in all designated areas daily
4.Monitors office supply inventory, advises supervisor of any needs.
5.Directs billing inquiries appropriately
6.Directs all patient inquiries appropriately
7.Complete all requests for copies of medical records from outside or regulatory agencies
8.Maintains supply of blank forms and new patient packets
9.Distributes office mail and staff messages timely
10.Accurately file patient information into medical chart
11.Answers phone in courteous, timely manner
12.Collects and secures monies for services requiring payment
13.Maintains/Monitors required Insurance verification /authorization for all scheduled appointments.
14.Faxes out dictation to referring Doctors as directed
15.Scans all registrations daily into onbase
Medical Records
1.Maintains all documentation in medical record in organized fashion
2.Files all documentation in a timely manner ensuring it is complete prior to forwarding to clinician for patient care
3.Locates missing medical records
4.Prepares new medical record jackets in advance of new patient visits to ensure an adequate supply
5.Submits or obtains old medical records as needed from outside record storage facility
6.Maintains confidentiality and security of all patient records
7.Tracks/Completes appropriate documentation in medical records (transfer of information, patient demographic information, etc.)
Education/Development/Initiative
1.Constantly thrives to improve department processes
2.Performs other related functions as assigned
3.Takes initiative to improve process of daily task in a timely manner
EDUCATION REQUIRED AND/OR PREFERRED:
High School Graduate or GED.
LICENSURE/CERTIFICATION:
None required
EXPERIENCE REQUIRED OR PREFERRED:
2 years related experience.
SKILLS, KNOWLEDGE, AND ABILITIES:
Demonstrated skills in organization, verbal and written communications, customer service, math, analysis, reading, following instruction, basic computer usage and Meditech.
