Job Summary And Qualifications
Manages all aspects of the scheduling of procedures for all Imaging Services and Cath Lab. Works in a high volume call center, with expectations of ability to maintain expected services efficiently. Manages all aspects of appointment setting, reschedules, cancellations, etc. Under the direction of the Scheduling Supervisor, works as part of a team, and with all expectations thereof including communication between peers, adherence to established guidelines and procedures, and within all regulatory compliance guidelines, i.e., HIPPA, IT, etc. Represents HCA and NC as the point of contact for all incoming requests for procedures. Relays information via outgoing calls to multiple customers, physicians, offices, modalities, and patients. Accurately inputs data into the Scheduling module of Meditech and ensures any required documentation is available in the designated locations. Continuously communicates via phone, e mail, fax, and through the appointment notes, all information required for appointments including but not limited to: insurance information, patient demographics, orders, diagnosis, contraindications, appointment times, appointment information, special notes, etc.

Job Summary And Qualifications

- Customer Service Skills and Communication
- Maintains established departmental and facility policies and procedures, objectives, quality assurance, safety, environmental and infection control standards.
- Demonstrates accuracy in the basic functions of Scheduling Procedures
- Special handling: Effectively identifies and communicates pertinent information to modalities or departments:
- Manages STAT requests by obtaining the essential patient information, notifying insurance verification team, coordinating with team leads and/or vendors as indicated for Cath Lab procedures.
- Notifies techs for same day add-ons and cancellations.
- Sedation – must have valid order. Fill out form to notify P.A.T. and radiology nurses, and schedule anesthesia by email notification.
- Safety contrast screening to determine location and, if premedication is required, notify nursing. Breast Bx, notify Breast Center-or MRI as appropriate.
- Conducts MRI safety screening for patients with implants. Obtains implant information and submits to MRI for approval or denial. Contacts patient to either schedule or notify them of denial.
- Ensures proper documents are obtained for PET brain to stay within MCR guidelines.
- Insurance verification as assigned for vein ablations and for patients residing in Medicare-certified beds.
- Applies instructions given for any special circumstances as directed.
- Assists radiologists and Nurses with the scheduling of Interventional procedures.
- Responsible for support to verifiers, technologist, physician offices, and others with regard to obtained information.
- Provides accurate information promptly to verifiers
- Tracks insurance status daily for next day appointments, and notifies patients by 3:30 pm if still in a pending status.
- Confirms the next day’s appointments, once verification is completed.
- Stays abreast of current insurance accepted by NCMC
- Understands and ensures components of orders are acceptable
- Tracks WC to ensure authorization is obtained prior to scheduling.
- Responsible for timely communications to IT to maintain continuity of services
- Obtains non-staff doctor information, completes unknown physician form, and emails form to scheduling supervisor to submit to IT.
- When aware of incorrect physician information, provides corrections to IT.
- Reports any downtime or system interruptions immediately to IT. (Meditech/Outlook/Fax Server/fax, etc. )
- Participates in educational programs and inservice meetings.
- Minimum Education: High School Diploma or GED.
- Minimum Experience: Computer literate, some Radiology Scheduling or prior scheduling experience in a clinical environment preferred.
- Skills: Excellent customer service and phone skills, critical thinking, and basic PC software, i.e. Word, Excel, etc. preferred
- High initiative, able to independently manage information, strong prioritizing and decision making skills.
