Operations Support Specialist
We are seeking an organized and proactive individual to provide operations support for HCM Property Management. This position requires organization, attention to detail, and the ability to multitask to ensure smooth day-to-day operations of the company. We prefer candidates who have some support experience, but we are willing to train the right person.
Property Management Operations Assistant Duties and Responsibilities:
- Open and close the office (9-6)
- Evaluate rental applications and assess the qualifications of applicants based on financial data, credit reports, and rental history--decline applicants who lack minimum requirements
- Prepare and complete lease renewals, security deposit dispositions, notices, etc.
- Assist with late-rent delinquency process (communicate with tenants and owners for resolution, and escalate when needed)
- Greet visitors in a professional manner
- Manage and respond to emails, correspondences, and other forms of communication to and from tenants, property owners and vendors
- Operate and maintain office machinery (including photocopiers, scanners, telephone and voicemail systems, and computers) request repairs when necessary
- Take inventory and order office materials, supplies, and services as needed
- Assist with general office duties and provide general administrative and clerical support for the organization
- Perform other duties as assigned
Property Management Operations Assistant Requirements and Qualifications:
- High school diploma or equivalent
- 2 years of administrative-type experience preferred
- Excellent verbal and written communication skills
- Proficient with computers and various software programs
- Strong organizational, problem-solving, and multitasking skills
- Able to work independently and as part of a team
- Professional demeanor
- Organized and detail oriented
