Key Responsibilities
Customer Service:
- Serve as the first point of contact for clients and visitors, delivering exceptional customer service via phone, email, and in-person interactions.
- Answer and direct incoming calls professionally, taking messages or resolving inquiries as appropriate.
- Respond promptly to client inquiries and provide accurate information about services.
Administrative Support:
- Schedule and coordinate appointments, meetings, and events, ensuring calendars are updated and conflicts are avoided.
- Perform data entry tasks, ensuring accuracy and attention to detail in maintaining records and databases.
- Organize and manage physical and electronic files to ensure information is easily accessible.
- Handle incoming and outgoing correspondence, including mail, emails, and packages.
Office Operations:
- Assist in maintaining a clean, organized, and professional office environment.
- Monitor and order office supplies as needed to ensure smooth operations.
- Support team members with various administrative tasks and special projects as assigned.
Qualifications and Skills
- Experience: Previous experience as an administrative assistant or in a customer service role preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using scheduling software and databases.
