Position Overview

We are seeking an organized, detail-oriented, and proactive Administrative Assistant to join our team. This role is ideal for someone with excellent customer service skills, a professional demeanor, and the ability to handle multiple administrative tasks efficiently. The ideal candidate will be a quick learner, highly dependable, and have a strong ability to work both independently and collaboratively.


Key Responsibilities

Customer Service:

  • Serve as the first point of contact for clients and visitors, delivering exceptional customer service via phone, email, and in-person interactions.
  • Answer and direct incoming calls professionally, taking messages or resolving inquiries as appropriate.
  • Respond promptly to client inquiries and provide accurate information about services.

Administrative Support:

  • Schedule and coordinate appointments, meetings, and events, ensuring calendars are updated and conflicts are avoided.
  • Perform data entry tasks, ensuring accuracy and attention to detail in maintaining records and databases.
  • Organize and manage physical and electronic files to ensure information is easily accessible.
  • Handle incoming and outgoing correspondence, including mail, emails, and packages.

Office Operations:

  • Assist in maintaining a clean, organized, and professional office environment.
  • Monitor and order office supplies as needed to ensure smooth operations.
  • Support team members with various administrative tasks and special projects as assigned.

Qualifications and Skills

  • Experience: Previous experience as an administrative assistant or in a customer service role preferred.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using scheduling software and databases.
  • Communication: Strong verbal and written communication skills with a professional and friendly demeanor.
  • Detail-Oriented: Excellent organizational skills with a focus on accuracy and attention to detail.
  • Quick Learner: Ability to grasp new tools, systems, and processes efficiently.
  • Interpersonal Skills: Positive attitude, strong work ethic, and ability to handle sensitive information with confidentiality.
  • Time Management: Ability to prioritize tasks effectively and work independently to meet deadlines.

Working Hours and Compensation

  • Schedule: 5 hours daily, Monday to Friday, with some flexibility in hours

 

Salary : $15 - $18
