What are the responsibilities and job description for the Lead Operations Coordinator position at Headfirst Summer Camps?
The Position
Reporting to the Manager of Headfirst’s Summer Camp division, the Lead Operations Coordinator plays a critical role in ensuring seamless operations across our six summer camp locations. This jack-of-all-trades position is ideal for individuals interested in event planning, coordination, and large-scale logistics. You will oversee the coordination of on-site operations, material management, and logistical problem-solving to ensure each camp site runs efficiently.
This seasonal role runs from early May through the end of August, with time split between our summer camp sites across Northwest DC, Northeast DC, Bethesda, MD, and Oakton, VA, our warehouse in Silver Spring, MD, and occasional visits to Headfirst Headquarters in NW DC. Some locations are not accessible via public transportation, so reliable transportation is required.
This role is an excellent opportunity for those looking to gain experience in event operations, program logistics, and high-volume coordination in a fun and fast-paced summer camp setting.
What You'll Do
Quality Control & On-Site Support
- Act as an extension of Headfirst Headquarters, ensuring all sites meet branding and operational standards.
- Oversee carpool efficiency, ensuring signage, setup, and external-facing details are professional and on-brand (e.g., ensuring staff have name tags).
- Assist with field trips, providing additional supervision and logistical support.
- Provide basic tech support to sites, troubleshooting any operational challenges as they arise.
Warehouse & Materials Management
- Coordinate materials pick-up and drop-off at the warehouse as needed.
- Maintain inventory organization and cleanliness—ensuring materials are accessible and ready for use.
- Strategically pack and track materials to ensure all sites receive the necessary supplies.
Handle the Curveballs
- No two days are the same at Headfirst! Be ready to jump into unexpected challenges, support cross-functional projects, and adapt to dynamic needs throughout the summer.
About You
Must be at least 20 years old with at least (2) years at an undergraduate institution or equivalent professional experience.
- Must:
- Have a valid driver’s license and clean driving record. Have your own vehicle to transport materials from our warehouse to multiple site locations. Be comfortable driving a large cargo van on occasion.
- Commute to all eight locations across DC, MD, and VA.
- Work around small children including, sitting, standing, running, and climbing stairs for the full day.
- Work in hot and outdoor environments while actively supervising campers and participating in dynamic activities for extended periods of time.
- Lift and carry up to 30 pounds occasionally.
- Committed to adhering to the Cell-Phone Free policy, powering down and putting away cell phones in a locked pouch for the duration of your shift.
