Responsibilities:
- Oversee daily operations of the office, ensuring smooth workflow and efficient processes.
- Manage administrative tasks, including scheduling appointments, coordinating meetings, and handling correspondence.
- Supervise office staff, providing guidance and support when needed.
- Maintain office supplies inventory and place orders as necessary.
- Handle incoming calls, inquiries, and requests, directing them to the appropriate individuals.
- Manage and maintain office documentation, records, and files in accordance with company policies.
- Ensure compliance with relevant regulations, including HIPAA, and maintain confidentiality of sensitive information.
- Assist with financial duties such as budgeting, billing, and accounts payable/receivable.
- Collaborate with other departments and external stakeholders to facilitate effective communication and coordination.
Requirements:
- Proven experience as an Office Manager, preferably in a medical office setting.
- Strong knowledge of medical office operations, including appointment scheduling, medical records management, and insurance procedures.
- Proficient in using office management software and other relevant tools.
- Excellent organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong communication and interpersonal skills, with the ability to work well with a diverse range of individuals.
- Attention to detail and a high level of accuracy in completing tasks.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Knowledge of relevant regulations and compliance requirements, including HIPAA.
