About the Company
The Healing Lodge of the Seven Nations is a residential treatment facility for youth with co-occurring disorders (chemical dependency and mental health). The Healing Lodge provides a safe and caring treatment setting located on 51 acres. Our wellness program offers a peaceful environment for treatment balanced in traditional, cultural, and spiritual values and practices. These values and practices foster respect, honesty, generosity, strong cultural identification and hope for positive life changes. The Healing Lodge treatment program integrates cultural teachings and traditions into modern evidence-based practices in order to create a holistic approach toward healing. Residents include both Native American and non-Native youth from all areas of the country.
About the Position
Under the supervision of the Family Wellness Healthcare Director this position serves as the department Administrative Assistant performing a variety of complex multi-disciplinary, compliance and business activities. The position requires excellent organizational and computer skills and the ability to multi-task in a multi-disciplinary behavioral health/medical focused department.
Essential Duties and Responsibilities include the following:
1. Assist supervisor with the day-to-day operations.
2. Attending all assigned staff/department meetings, and department/site meetings, and completing in-service and annual training.
3. Works closely with Procurement to maintain and report inventory of office supplies and break room items ensuring the stock levels are managed effectively to support ongoing operations.
4. Facilitator and note taker for department meetings.
5. Knowledge and adherence to all policies on safety and security.
6. Practicing confidentiality and privacy protocols in accordance with HL7N policies and HIPAA requirements
7. Participating in compliance activities to ensure ongoing consistent review.
8. Cross-training for front desk scheduler.
9. Support the Director in overseeing the department’s budget and credit card expenditures, ensuring optimal allocation and financial integrity.
10. Contributing to team effort by accomplishing assigned tasks with accuracy, actively participating in group meetings and assisting others as necessary.
11. Prepare and maintain accurate records.
12. Prepare clear and concise reports using correct grammar, punctuation, and spelling.
13. Maintain objectivity and confidentiality.
14. Gather and analyze data, draw conclusions, and make recommendations.
15. Use word processing, spreadsheet, and database applications on personal computer.
16. Participate in organization wide planning of activities.

Position Requirements

Education and/or Experience:
· Minimum associate degree from an accredited University / College in psychology, social work, human or social services or related field, and/or
· Possess at least two years' direct work experience within a behavioral health or medical setting which shows progressive proficiency in performing administrative assistant job duties.
· Familiarity with HIPAA regulations, State, Federal, and accreditation standards preferred.
Certificates, Licenses, or Registrations:
No professional license required but must have verifiable experience in behavioral healthcare field.
Special Skills:
Must have advanced competency with office automation (Word, Excel, Access, and PowerPoint) systems and strong working knowledge of applicable national certifications standards, such accreditation bodies. Strong analytical and critical thinking skills. Attention to detail and the ability to problem solve.
