What are the responsibilities and job description for the Receptionist position at Health at Home?
Front Desk Reception & Client Interaction:
- Greeting and assisting clients, visitors, and staff in a friendly and professional manner.
- Answer incoming phone calls, address inquiries, and direct calls to the appropriate staff members or departments.
- Provide general information to clients and visitors regarding the agency's services and operations.
- Ensure that clients' needs are met in a timely and compassionate manner.
Phone Reception & Communication:
- Respond to inbound calls promptly and professionally.
- Redirect phone calls to the appropriate internal staff members.
- Take accurate messages and ensure timely communication with the relevant team members.
- Handle client concerns and requests with sensitivity and empathy, ensuring proper follow-up.
Administrative Support:
- Provide general administrative support such as filing, preparing and organizing packets, and maintaining an organized office environment.
- Assist with the preparation of documents and forms as required.
- Coordinate with staff to ensure all necessary paperwork and records are completed and updated.
- Assists with general office functions including, but not limited to, filing, copying, processing mail, maintaining records / files, ordering supplies and coordinating office equipment maintenance.
- Other duties as assigned.
Position Qualifications:
- Must be a high school graduate or the equivalent.
2. One (1) to three (3) years secretarial experience is preferred.
3. Must have experience in answering multi-line telephone systems with a pleasant phone voice.
4. Must have some basic computer knowledge, ability to operate office machines and equipment.
5. Must be detail oriented with good organizational skills.
6. Must be able to communicate clearly and comprehend written and verbal communications.
