COMPANY OVERVIEW: Health Partners Management Group, Inc (HPMG) is a government contracting company in Poplar Bluff, Missouri. HPMG currently has a contract with the Federal Government. You would be a W-2 employee for HPMG and NOT a government employee.
SUMMARY: Schedules appointments in a government computer system for primary care, specialty and subspecialty medical care. In addition to scheduling requested appointments, this position will call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, to include appointments for consult/referral specialty care within the MTF or at civilian facilities.
REQUIREMENTS:
- Minimum of 6 months’ experience in medical office scheduling.
- A fully qualified typist (computer keyboard) with a minimum of 50 WPM is required.
- Clearly speak and understand the English language.
- Use of standard office equipment, such as personal computers, copiers, fax machines, and telephone systems.
- Possess general medical ethics, telephone etiquette, and excellent communication and customer service skills.
- Obtain BLS or CPR certification through the American Heart Association or American Red Cross and keep current.
EDUCATION: High school diploma or General Educational Development (GED) equivalency.
PERFORMANCE OUTCOMES:
Perform a full range of tasks consistent with their profession, education, training, experience, and assigned responsibilities. MSS Personnel shall perform the following tasks:
- Schedules medical appointments and determines patient eligibility for services from phone calls, secured messaging or other methods used for appointment requests. Supports PCM by name processing for appointment and appropriate access to care timeframes during allocation of standard appointment types.
- Maintains appointment schedules using a government computer system (MHS GENESIS).
- Validates eligibility through appropriate booking through Defense Eligibility Report System (DEERS). May be required to register patients not already in computer system, such as newborns.
- Maintains accurate and up-to-date patient schedules and logs. Utilizes the Government computer system tools and standard protocols (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options or cancellation processing.
- Validates basic patient demographic information prior to booking appointment for patients. Makes required updates.
- Call patients or responds to secure messaging requests as needed to schedule, reschedule, and/or cancel appointments. Promotes consult/referral specialty medical care within the MTF or at civilian facilities. Provides patient with specific visit instruction.
- Confirms medical records are available for upcoming appointments on provider schedules.
- May assist in preparation of patient notices (telephonically or form letter formats) for appointment reminders, no shows, or reschedule/cancellations.
- Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses by using the Government computer system, standard protocols and individual clinic guidelines as needed.
- Follow the MTF Standard Operating Procedures (SOPs) to provide administrative support services to the MTF.
- Receive, greet, and inform patients, visitors, and hospital personnel and provide accurate responses in a friendly, courteous, and concerned manner.
- Fax, copy, scan, print, and type documents to complete daily tasks listed within this contract and the MTF SOPs.
- Utilize MHS Genesis and various other databases in support of patient care and to satisfy administrative requirements. (i.e., end of day review, reporting, and close outs).
- Maintain a level of productivity comparable with that of other individuals performing similar services.
- Employ a full range of administrative skills, maximizing the use of office suite applications and government specific computer software programs to manage the requirements of day-to-day duties in a fast-paced outpatient office.
- Plan and carry out assignments with considerable independence.
- Type, edit, format, and print a wide variety of documents for office and provider staff including, but not limited to, patient questioners and intake forms, departmental correspondence, reports, technical notes, patient brochures and educational briefing materials in accordance with established policy and procedures. Source materials may be in the form of a draft written, electronic, digital, and voice recorded media. Integration and transfer of source materials into a single format or application (i.e. database, graphics, and spreadsheets, etc.) may be required.
- Answer incoming telephone calls using appropriate telephone etiquette and greet patients, families, and MTF leadership to the Physical Medicine & Rehabilitation Department in a friendly, courteous and concerned manner.
- Screen and refer calls to appropriate staff members. If staff is unavailable, personnel shall take and deliver precise messages.
- Provide callers and visitors with routine information regarding the clinic (i.e. how to obtain services in the clinic, hours of operation, and location of the department).
- Maintain supervisor level access in government specific computer software programs, such as MHS Genesis, etc., that allows the maintenance and alteration of provider schedules and templates to facilitate access to care.
- Generate encounter forms and prepare packages for initial evaluation and specialty consult appointment types, screen and disposition electronic referrals, book specialty, routine and walk-in appointments, cancel and reschedule appointments as needed.
- Complete end of day processing and shall print next day clinic schedules.
- Possess knowledge of the general function and protocols of the various clinical and administrative departments of a Medical Center and have familiarity with reviewing, extracting and recording medical information and data for the clinical staff’s use in planning care and scheduling consultations.
- Possess knowledge of the various services of the Physical Medicine & Rehabilitation Department's medical terminology and procedures, to properly schedule patients' appointments avoiding any conflict in patient care and to direct patients' inquiries; knowledge of the administrative procedures related to patient flow, patient care and patient record maintenance to facilitate patient access to care; knowledge of agency regulations governing patent's eligibility for service and care
- Maintain outpatient records for clinic use and shall ensure records are in the correct format and documentation is placed in the file correctly.
- Possess knowledge of forms used for filing medical records, clinic procedures, assembling patient charts, and scheduling patient appointments, to independently perform the clerical work for patient care.
- Possess knowledge of comprehensive word processing, appointment scheduling, statistical reporting, and general communication capabilities of government specific computer software programs, such as MHS Genesis, and ESSENTRIS (ERS), etc., and the statistical data gathering capability of the Automatic Data System (ADS) to facilitate patient access of care, general day to day functioning of the clinic and documentation of clinic workload.
- Be a liaison between the clinic and other military and civilian facilities essential to the department. Contacts are primarily with physicians, nurses, residents, students, general duty corpsman, patients, families, and other military commands from outside the immediate organization.
- Call in or enter trouble tickets for the Defense Medical Logistical Standard Supports (DMLSS) system.
- Personnel shall not order supplies for the Department.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS: The work is mainly sedentary, but may require walking, bending, standing, and/or carrying of light items such as files, manuals, and medical records.
