What are the responsibilities and job description for the Medical Appointment Scheduler position at Health Partners Management Group INC?
SUMMARY: Schedules appointments for primary care, specialty and subspecialty medical care; includes appointments for consult/referral specialty care within the MTF or at civilian facilities. In addition, appointment clerks will call patients or respond to messaging submissions to schedule or cancel appointments as needed.
LOCATION: Vandenberg SFB
SCHEDULE: Monday - Friday; 7:00 am - 3:30 pm or 7:30 am - 4:00 pm (varies week to week). NO WEEKENDS.
PAY: $23.11 per hour

REQUIREMENTS:
1. At least 6 months of experience scheduling medical appointments
2. High school diploma or GED
3. BLS OR CPR/AED certification required and must stay current.
4. U.S. Citizen
5. Type a minimum of 50 WPM is required.
PREFERRED EXPERIENCE:
1. At least 6 months of call center experience
2. General medical ethics, telephone etiquette, communication, and customer service skills.

JOB DETAILS:
1. Schedules medical appointments and determines patient eligibility for services from phone calls, secured messaging or other methods used for appointment requests. Supports PCM by name processing for appointment and appropriate access to care timeframes during allocation of standard appointment types.
2. Maintains appointment schedules using a government computer system (MHS GENESIS).
3. Validates eligibility through appropriate booking through Defense Eligibility Report System (DEERS). May be required to register patients not already in computer system, such as newborns.
4. Maintains accurate and up-to-date patient schedules and logs. Utilizes the Government computer system tools and standard protocols (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options or cancellation processing.
5. Validates basic patient demographic information prior to booking appointment for patients. Makes required updates.
6. Call patients or responds to secure messaging requests as needed to schedule, reschedule, and/or cancel appointments. Promotes consult/referral specialty medical care within the MTF or at civilian facilities. Provides patient with specific visit instruction.
7. Confirms medical records are available for upcoming appointments on provider schedules.
8. May assist in preparation of patient notices (telephonically or form letter formats) for appointment reminders, no shows, or reschedule/cancellations.
9. Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses by using the Government computer system, standard protocols and individual clinic guidelines as needed.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS: The work is mainly sedentary, sitting at your desk on the phone. Carrying of light items such as files, manuals, and medical records could be required.
