Position Description :

The Health Alliance for Violence Intervention (HAVI) envisions a world where communities end violence and foster healing. Our mission is to reduce violence, particularly in communities of color, by advancing hospital-based violence intervention programs (HVIPs) and coordinated, community-led systems that heal trauma and promote equity.

The Manager will play a critical role in grant management, tracking, and reporting, event sponsorships, individual giving campaigns and CRM development and management. The Manager will be situated in the HAVI’s Organizational Growth and Equity Division that works to align the strategic priorities of the organization among the executive director, board, senior leadership, staff, and fiscal sponsor to achieve the HAVI’s racial equity, organizational, programmatic, and fiscal goals.

We are searching for a proven manager and administrator to support the infrastructure of our growing organization. The Manager will monitor grants and contracts, manage proposal teams, processes, and tasks, and engage stakeholders to meet grant and contractual requirements. They will improve the structure and functioning of the CRM, manage the CRM, and produce reports. Together with the Associate Director of Advancement, they will implement and manage an individual giving program and provide support for the major gifts program. We seek a professional with experience in grant management and a passion for violence intervention and equity work. The ideal candidate should be able to manage time-sensitive deliverables while also being able to pivot quickly as new opportunities and circumstances arise.

The Manager will report to the Associate Director of Advancement. This is an exempt, full-time position with a salary range of $65,000 – $75,000, based on experience and internal equity factors. Some occasional national travel may be needed for this position.

Duties and Responsibilities :

Management

  • Manage and support projects, activities and tasks related to development, fundraising, individual giving and grant management.
  • Monitor grants and sponsorships to ensure that the HAVI is meeting its contracted deliverables, and manage close-outs, extensions and renewal processes.
  • Cultivate relationships with stakeholders to advance HAVI’s development goals, vision, mission, and values.
  • Manage a Client Relationship Management (CRM) platform that is specific to development functions. This includes inputting data and maintenance tasks, checking trends, setting up automations and workflows, and generating dashboards and reports.
  • Ensure development management systems work together smoothly (CRM, donor landing page, etc.).
  • Work with the Associate Director of Advancement, Strategic Planning Director, Managing Directors, and Executive Director to ensure that grant solicitations and sponsorships are aligned with organizational and programmatic priorities.

Project Work

  • Use HAVI’s CRM and project management tools (Asana) to create dashboards, reports, set-up automations and workflows, and data tracking for development. Additionally, generate schedules, calendars, reports and other materials to increase effectiveness and efficiency.
  • Orient staff to their responsibilities relative to revenue and expense grant contracts.
  • Work with project and administrative staff to ensure compliance in the submission of vendor invoices, reporting requirements and project management.
  • Coordinate schedules and meeting agendas, take minutes and communicate with staff and external stakeholders.
  • Maintain sponsorship lists, requests, and records.
  • Communicate and provide relevant resources to all necessary stakeholders promptly. This will include thank you letters and other cultivation mailings.
  • Assist the Associate Director of Advancement in supporting the work of the HAVI Advancement Council, and interfacing with the Communications team to develop an individual giving structure, calendar and campaigns.
  • Maintain and improve development filing system and be accountable for grant materials and contracts.
  • Complete other duties as assigned.
  • Thought Leadership

  • Participate in strategic planning for the growth and direction of the network.
  • Participate in regional and national conferences and forums on behalf of HAVI, as necessary.
  • Contribute ideas to advance the division and organization’s work, with a focus on systems development and quality improvement.
  • Business Development

  • Use Foundation Search, DonorSearch, and / or other grant search and donor wealth engine software for identifying and building relationships with potential donors and funders.
  • Assist the Associate Director of Development and the Communications staff in developing and implementing an individual giving program strategy.
  • Candidate Qualifications :

    Expertise

  • Demonstrated experience in grant management, grant reporting, donor management, individual giving, and donor prospecting.
  • Ability to efficiently manage multiple tasks with accuracy, a high-level of organization, and with attention to detail.
  • Excellent written and oral communication skills.
  • Ability to adapt communication appropriately for purpose and audience.
  • Fundraising CRM implementation, maintenance, and reporting skills, including the ability to design a system for best use, develop reporting strategies, and input and clean data.
