Position Summary: The Operations Support/Receptionist position is a dual-role position that combines front-line customer service and administrative support to ensure smooth office and schoolwide operations. Key Responsibilities:
Operations Support Duties:
- Assist with administrative tasks, including data entry, document management, and filing.
- Help prepare reports, presentations, and other materials as required.
- Delivering office supplies and managing inventory.
- Fulfil classroom supply orders in a timely manner.
- Maintain the supply closet.
- Provide support for project management and team coordination as needed.
- Collaborate with other departments to ensure operational efficiency.
- Incident reporting and all associated investigation for situations involving students or external guests/contractors.
- Maintain all staff areas including mail room, conference rooms, staff lounges.
- Oversight of building aesthetics including bulletin boards, hallways, posters and signage.
- Manage records retention for the school (excluding personnel files).
- Assist the Director of HR in records retention for personnel files.
- Assist Operations Coordinator with the scanning and filing of payables documents.
- Create and maintain the schoolwide records retention binder.
- Assist Facilities Coordination in Create and maintain student/staff lunch pins.
- Assist the Director of HR to create and maintain the school holiday schedule.
- Create and maintain the staff directory and mailboxes.
- Assist Operations Coordinator with drop off and pick up checks.
- Assist School Business Manager with bank deposits.
- Assist the Director of HR to create and maintain human resources information boards.
- Assist the Operations Coordinator with creating and maintaining academic certificates.
- Assist School Business Manager with Registrar Responsibilities
- Providing coverage for the receptionist in their absence
- Assisting with Attendance Clerk responsibilities
- Greet visitors, clients, and staff with a positive, professional demeanor.
- Answer phone calls, direct inquiries, and take messages when necessary.
- Assist in scheduling, appointments, and meeting room bookings.
- Assist in office visitor logs and security procedures.
- Handle incoming and outgoing mail and deliveries.
- Maintain a clean, organized reception area.
- Delivery of incoming mail/packages.
