Job Description:
The Administrative Assistant serves as a part of the administrative team in the MATCH Program. The MATCH Program works in conjunction with the Baltimore City Department of Social Services to ensure all children in foster care receive health services and ensure children’s health needs are met.
The primary responsibilities for this position are:
- Manage incoming calls and messages through the MATCH Program’s main phone number
- Provide support to the MATCH clinical team by requesting supporting documentation, screening incoming calls and entering notes in the MATCH Program’s database
- Provide administrative data support for the MATCH Program
- Reconciliations of data for BCDSS and HCAM internal and external reports
- Utilize multiple databases to update the demographics of children in foster care and upload documentation containing personal identifiable information (PII)
- Retrieve, return, and keep track of medical records for MATCH’s clinical team
- Utilize the MATCH Program’s database to identify assigned Medical Case Manager or Care Coordinator of foster children
- Update addresses of foster children in the MATCH Program’s database
- Sort and distribute incoming mail for MATCH staff
- Perform clerical duties for the MATCH management staff
- Data entry of medical information into BCDSS’ child welfare database system
- Provide weekly administrative reports to Operations Supervisor
- Other duties as assigned
Qualifications
Requirements & Experience:
- High School or GED required
- Minimum of 1 year customer service
- Minimum of 1 year administrative experience
- Professional appearance and demeanor
- Organizational skills with the ability to multi-task
- Problem solving skills
- 30 WPM typing speed
- Ability to follow explicit instructions
- Proven ability to work efficiently and meet deadlines
- Computer literate specifically MS Word, Excel, PowerPoint and Google mail
PHYSICAL REQUIREMENTS
While performing the duties of this position, the employee is regularity required to speak, listen, and respond to customers and providers. They will need to be able to key electronic data and be able to sit for extended periods. The employee must be able to lift at lease 15lbs.

WORK ENVIRONMENT
While performing the duties of this job, the employee is exposed to indoor conditions. The employee will be subject to noise.
In compliance with Maryland's wage transparency requirements, the compensation for this position includes a base pay range of $19.91- $20.91 per hour.
