Job Summary
We are seeking a dedicated and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing front desk operations. The Receptionist supports the administrative team by maintaining a welcoming and professional office environment, managing daily office operations, and assisting with communication, events, and employee engagement initiatives. This role ensures the smooth flow of office activities and contributes to fostering a positive workplace culture.
Shift: Monday - Friday 8:30 AM to 5:00 PM
Summary of Essential Job Functions
Office Administration:
- Greet visitors warmly and promptly, directing them to the appropriate person or department.
- Track visitor details such as names, companies, appointment times, and purpose of visit.
- Maintain a tidy and organized reception area, ensuring the front office is always presentable by performing tasks like dusting, wiping down surfaces, and picking up trash.
- Periodically check the public restrooms and tidy up as needed.
- Track office supply inventory and place orders as needed to ensure continuous availability.
- Monitor and restock coffee station, kitchen area, and copy room supplies daily.
- Collect and sort incoming mail from the office mailbox and distribute it to the appropriate staff members.
- Open billing department mail, scan approved files, and save them as directed.
Billing Assignments:
- Prepares and sends medical records to insurance.
- Appealing refund requests.
- Disputing and resolving billing errors.
- Resolving payer/clearing house rejections.
- Generate billing reports.
- Communicate effectively with carriers to submit what is necessary for payment
- Additional assistance as needed.
Communication and Engagement:
- Create, edit, and distribute a monthly company newsletter, gathering information and writing content that highlights company updates, events, and announcements.
- Design flyers for internal company events and employee announcements as needed.
- Coordinate ideas with the Office Manager for staff engagement, involvement, and rewards.
- Assist with planning and executing company events throughout the year.
- Bring forward ideas to improve employee retention and work satisfaction.
General Support:
- Report any issues within the office environment, such as visitor concerns, phone system problems, office equipment malfunctions, or facility maintenance needs, to the appropriate manager or supervisor.
- Assist other departments with administrative tasks as needed to support team goals.
Required Education and Experience
- High school diploma, general education degree or equivalent.
- At least 3 years of customer service experience.
- Entry level knowledge of Microsoft Office applications (Word, Excel, Outlook), and cloud-based applications.

- Ability to communicate well with customers and stay calm when customers are stressed or upset.
- Ability to work well with people of various backgrounds and education levels and establish cooperative working relationships with all coworkers.
