Job Overview

    

Clinical Operations Director functions as the on-site liaison between Intake services and other internal agency components as well as outside entities. Primary responsibilities include: contributing to the creation/changes of the clinical workflow in intake, chairing and creating the agenda for the team meeting, providing clinical oversite of AOD/LPHA staff, coordinating care with the medical team, including psychiatry and MAT services, at HR360 clinics. Ensures that clients meet criteria for admission at our various programs and meets medical necessity. The Clinical Operations Director performs these duties in collaboration with the Intake Director and will report to the Intake Director. Additional duties include assisting staff to achieve and maintain accuracy in multiple EMR systems, ensuring MH/AOD coverage, and providing or assigning crisis intervention and completing assessments services as needed.

         

Key Responsibilities

    

Administrative/Coordinating Responsibilities: Provides liaison between the MH facility staff and other internal agency components and outside entities. Actively manages workloads and assignments to ensure productivity meets agency requirements. The expectation is that each intake LPHA provides several intake assessments daily, including but not limited to LOC’s, Mental Health one shots and 3.2 Withdrawal Management LOCS. Maintains the scheduling for assessments on MH Calendar and tracks completion of assessments. Ensures coverage for the facility e.g. assists staff in coordinating time off, ensuring coverage during the holidays and minimizing gaps in coverage due to required trainings etc. Assist to ensure timely correction of errors for staff relating to multiple EHR systems with a maximum turnaround time of 24 business hours. Fields referrals from outside entities and community partners. Clinical Operations Director will provide consultation as needed to AODs/LPHAs within the department. Assist with psychological crisis either directly or by assigning other mental health staff as appropriate. Works to improve workflows in collaboration with the Intake Director. Adheres to metrics related to bed flow/utilization and county contract deliverables related to Intake.

Direct Service and Individual Responsibilities: Conducts assessments, including but not limited to LOC’s, Mental Health One Shots and 3.2 Withdrawal Management LOCS. As needed, provides crisis intervention with referrals out to crisis support services. Provides support and psycho-education about health and mental health problems that include screening clients for appropriate levels of services, assessments and referrals. Maintains confidentiality while working as part of a treatment team and adhering with intake norms. Consults with Residential Program Leadership and staff, participates in county/leadership meetings, coordinates integrated care with medical/MAT Clinic. Attends staff and agency meetings. Participates in agency trainings as required. Complies with Board requirements for license registration/renewal of intake staff. Direct reports include all LPHAs and SUD Counselors.

Documentation Responsibilities: Conducts assessments (LOCS, 3.2's or One Shots) and completes same day documentation in Welligent and Avatar. Keeps a tracking log of referrals out to mental health program, clients who want detox only services and clients with approved residential authorizations.

Education and Knowledge, Skills and Abilities

    

Education and Experience Required:

  • California licensure as a Psychologist, LMFT or LCSW or license eligible Psychologist, AMFT or ASW.
  • Experience with Welligent/AVATAR EMR systems.
  • Experience with Mental Health Medi-Cal procedures.
  • Minimum two years of experience in dual diagnosis substance abuse treatment in an inpatient or outpatient community mental health setting.
  • Administrative supervision experience in mental health or psychiatric setting with varied populations.
  • Demonstrated clinical paperwork and record keeping abilities.
  • Familiarity with trauma informed therapy models, cognitive–behavioral therapy, brief psychotherapy, ASAM assessment, and psycho-educational approaches.
  • Familiarity with working with psychotic and other severe mental health presentations.
  • Ability to work as part of an interdisciplinary team.
  • Clinical experience in performing risk assessment and crisis intervention.

Desired:

  • Clinical experience and understanding of issues related to HIV/AIDS and SUD treatment.

Background Clearance:

  • Must not be on active parole or probation, clear with OIG database.

Knowledge Required:

  • Culturally competent and able to work with a diverse population.
  • Strong proficiency with Microsoft Office applications, specifically Word Outlook and internet applications.
  • Experience working successfully with issues of substance abuse, mental health, criminal background, and other potential barriers to economic self sufficiency.

Desired:

  • Familiarity with harm reduction models.
  • Knowledge of DBT, CBT, MI and trauma-based treatment highly desirable.

  • Ability to enter data into various electronic systems while maintaining the integrity and accuracy of the data.

  • Able to communicate well at all levels of the organization including working with organization leadership and high-level representatives of partner organizations.
  • Able to work within a frequently changing project scope while maintaining overall direction and structured priorities.

Desired:

  • Knowledge of trauma, co-occurring disorders and substance abuse treatment.
  • Knowledge of Clinical documentation (treatment plans, progress notes etc.).
  • Experience working with criminal justice population.
  • Bilingual.
