Job Summary and Qualifications
JOB TITLE – Payroll Customer Service Specialist
GENERAL SUMMARY OF DUTIES - The Payroll Customer Service Specialist is responsible for answering Payroll related inquiries in accordance with HWS Payroll Policies and Procedures.
SUPERVISOR – Finance Operations Manager
SUPERVISES – None
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
- Clinician Communications: Respond to clinicians' inquiries regarding hours paid, corrections, deductions, and tax questions via phone and email.
- Payroll Issues: Investigate payroll discrepancies with vendors, facilities, clinicians, and local staffing and recruiting teams.
- Payroll Checks: Obtain written authorization before releasing an employee’s check to another person/employee.
- Payroll Requests: Create additional payroll requests (tickets) to assist with new adjustments and inquiries.
- Payroll Close: Assist with the weekly payroll close process.
- AR Adjustments: Resolve customer issues to minimize payment disputes and accounts receivable (AR) adjustments.
- AR Aging: Monitor accounts receivable aging and contact customers to secure payments on outstanding balances.
- Invoice Reconciliation: Resolve discrepancies between invoices and accounting records.
- Vendor Communications: Store researched information from vendor communications on a shared drive.
- Vendor Mgmt.: Research and resolve vendor-related inquiries and discrepancies, respond to all vendor emails and calls within 24-48 hours and escalating issues if necessary.
- Time Changes: Ensure time slips and time changes from the previous pay period are processed correctly.
- Additional Duties: Perform other duties as assigned.
KNOWLEDGE, SKILLS, & ABILITIES – This position requires the following minimal requirements:
- Handle multiple priorities and work independently
- Must have excellent customer service skills
- Must have excellent organizational, verbal and intrapersonal skills
- Excellent mathematical, analytical skills
- Must be able to read/comprehend written instructions and follow verbal instructions
- Must be proficient in data entry including speed and accuracy
- Must have knowledge in transcription and computer technology
- Maintains working area and equipment in accordance with environmental and safety regulations
EDUCATION – Must have a high school diploma or GED equivalent.
EXPERIENCE – 2 - 3 years in customer service, accounts receivable or accounts payable (preferred)
CERTIFICATION/LICENSE – None
PHYSICAL DEMANDS/WORKING CONDITIONS –
- Requires prolonged periods of sitting some walking, standing, repetitive tasks/ motions and stretching and exert up to 10 lbs force occasionally.
- Requires clarity of vision, eye-hand-foot coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment.
- Requires the perceiving the nature of sounds at normal speaking levels with or without correction; ability to receive detailed information through oral communication, and to make the discriminations in sound
