The degree to which these departments collaborate ultimately impacts the quality of our services, our customer service, and the day-to-day work life of everyone in the company. We expect that you will be able to perform all Psychiatric administrative and clinical duties that are needed to assist the office and psychiatric providers. Administrative duties may include scheduling appointments, maintaining medical records, billing, and coding information for Medicaid. Clinical duties may include taking and recording vital signs and medical histories, preparing patients for physician visit, and administering all proper paperwork as directed by physician. You may also be asked to work on projects or with work groups.

Job-Specific Duties And Responsibilities
- Prepares patients for physician visit; taking blood pressure, weight, and height; reporting patient's medical history summary on progress note and all other duties needed to prepare patients.
- Assist Office Administrators in maintaining calendars and scheduling psychiatric appointments by making arrangements with the PLR (Person Legally Responsible), Caseworkers, Foster Parents, etc.; verifying times with patients; preparing charts
- Secure patient information and maintain patient confidentiality by organizing, composing, and producing confidential letters, memoranda, reports, and other documents
- Transmitting physician's orders and questions about prior visits to patients and others.
- Keep equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
- Ability to work with clinical staff and handle pressure from more than one provider
- Verifying patient eligibility on EVS Medicaid
- Confirming purpose of visit
- Record Demographics on to EMR(electronic medical records)
- Collect co-pays, if applicable
- Completely fill out lab slips and other forms, when necessary
- Preparing work station; writing receipts/assure EMR has updated billing codes
- Maintain safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations.
- Perform all other duties as assigned by the Lead MA, Psychiatric Provider, Assistant Medical Director, or Medical Director
- Tracking of patient trends and generating reports
- Being receptive to on the job training
Qualifications
- Must have High school diploma or equivalent; some college preferred
- Must be at least 18 y/o
- Minimum of two years Medical/Administrative Assistant experience with recommendations
- Must have thorough education or training in the basics of medical terminology
- Must be familiar with Medicaid
- Proficiency with word processing (60 wpm input speed) and computer spreadsheets (Word for Windows, Excel)
- Strong organizational skills, knowledge of grammar, spelling, punctuation and word definitions
- Must have a current CPR Certificate
- Must be skillful at communicating with people within and outside of the organization
