Job Summary
We’re a small law firm based in downtown Gulfport, hiring a trusted, detail-oriented Office Manager who can keep daily operations running smoothly while helping us modernize and grow. The ideal candidate will manage administrative and billing systems, handle sensitive financial and HR information with discretion, and support firm operations in a largely autonomous role. This position requires a blend of precision, leadership, and innovative thinking.
Key Responsibilities
- Develop and manage office budgets, billing, payroll, QuickBooks, and vendor payments
- Prepare and deliver a weekly financial summary to firm leadership
- Ensure city, state, federal tax, and other compliance requirements are met
- Streamline and modernize office systems using Clio and QuickBooks integrations
- Maintain vendor relationships and negotiate contracts for office supplies and services
- Implement or oversee the collections process for client accounts
- Leverage business expense programs and travel partnerships
- Promote a smooth, productive office environment through clear communication and proactive problem-solving
Skills
- High level of discretion and professionalism in handling financial and HR information
- Strong organizational and administrative skills with keen attention to detail
- Experience in legal or professional office environments preferred
- Proficiency in billing software, QuickBooks, and digital office systems (Clio experience a plus)
- Ability to identify and implement process improvements
- Effective communicator with strong interpersonal skills
- Working knowledge of payroll, invoicing, and collections
- Familiarity with legal operations—or willingness to learn quickly
Preferred Experience
- Office management in a professional or legal setting
- Familiarity with platforms such as QuickBooks, Clio, and LawPay
- Experience overseeing payroll, invoicing, record-keeping, and administrative workflows
Compensation
Full-time, salaried position. Competitive pay based on experience. Benefits package will be discussed during interviews.
