Job Title: New Patient Coordinator

Job Summary: Schedules new patients that have been referred to the Heart Center of North Texas via telephone call or fax.

Supervises: None

Supervised by: Front Desk Supervisor

JOB QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Education: High School graduate or equivalent
  • Language: Ability to read and interpret document such as safety rules and procedure manuals. Ability to speak effectively to patients and employees.
  • Personal Job Related Skills: Typing. Maintain filing systems. Telephone proficiency. Working knowledge of operating personal computer and knowledge of general clerical duties. Effective verbal and written communications skills. Ability to meet and interact with people. Ability to maintain organization. Maintain confidentiality.
  • Reasoning Ability: Ability to solve practical problems and deal with a variety of situations.
  • Computer Skills: Basic knowledge of word processing and medical management software.
  • Licensure, Certification, or Registry: None required
  • Experience: Prior work experience required, preferably in front desk/reception area. Insurance verification experience is a plus.
  • Technical Training: None required
  • Physical & Mental Requirements: Duties of position require intermittent walking and sitting, use of fingers and hands. Some bending, stooping, and reaching are required. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The noise level in the work environment is usually quiet.

ESSENTIAL DUTIES AND RESPONSIBILITIES: including the following. Other duties as assigned.

  • Greet all patients and medical office staff/physicians in a friendly and caring manner.
  • Ensures necessary paperwork is obtained and complete in order to schedule a patient for an appointment. (i.e. Demographics, copy of insurance card or insurance company, plan and id number, driver’s license or picture id, (if possible), diagnosis, referring physician, and Medical Records.)
  • Ensures the precert or referral for visit has been obtained.
  • The account will reflect in the “notes” that patient was notified of copay/coinsurance, of active or inactive insurance status, expected payment amount, and the authorization or referral information (date range, how many visits, which doctor and number, if needed)
  • Attempt will be made to contact patient a total of three times within a 2 week period. If unable to reach patient, the referring physician will be notified.
  • If patient refuses to schedule or wants to wait for a later time, the referring physician will be notified.
  • All initial attempts to contact patient will be made within 3 days of receiving the request.
  • Request Medical Records if not provided.
  • Medical Records will be given to the Medical Record department for scanning and filing.
  • Maintains confidentiality while working with patient’s insurance companies on a daily basis
  • Must have good working knowledge of all other office duties

Job Type: Part-time

Pay: $16.00 - $17.50 per hour

Expected hours: 40 per week
