Position Summary

The Office Coordinator has specific responsibility to oversee the daily operation of a federally qualified health center individual office to assure accurate and timely response to patients, staff, and physicians’ needs.  

 

Principal Duties and Responsibilities

  1. Supervision of front desk, phone and clinical staff ensuring that the office work process is run smoothly and professionally, and that patients receive excellent service from all office staff.
  2. Guiding staff and patients through admissions and correct medical administrative protocols
  3. Work with onsite staff to check and verify information on patient medical records.
  4. Maintaining adequate medical supplies for the facility.
  5. Coordinating admissions and discharge of patients in jockeying each provider’s schedule.
  6. Ensuring that forms and documents are correctly filled in and appear in the EHR.
  7. Handling of all complaints and queries professionally.
  8. Must work together with Clinical Managers to coordinate activities and enhance teamwork between clerical staff and the clinical staff of health center.
  9. Review and assure compliance with policies and procedures of Heart City Health Center, Indiana State Department of Health, federal regulators and other legal entities.
  10. Review daily reports to track posting of payments and monitor daily deposits/cash drawers.
  11. Participate actively in health center Management Team, Corporate Compliance activities, training, and customer service activities.
  12. Assure the confidentiality of all patient information in compliance with HIPAA.
  13. Is courteous and respectful of fellow employees, patients, and the public.
  14. Conduct support staff meetings monthly with written agendas.
  15. Other duties as assigned.

Required Knowledge, Experience or Licensure/Registration

  1. Bachelor’s degree; and/or equivalent combination of education/work experience.
  2. Minimum of three to five years medical office experience. Proficient in all Microsoft 365 and cloud products.
  3. Previous experience with EMR required.  Experience with AthenaHealth EMR software is preferred
  4. Attention to detail and prompt resolution of issues. Good oral and written communication skills.
  5. Excellent time management skills and organizational abilities.
  6. Top-notch client interaction skills.
  7. Ability to work in a high-pressure environment.
  8. Attention to detail and process-orientated thinking.
  9. An understanding of emergency protocols and safety guidelines.
  10. The ability to work independently and multitask.
  11. Commitment to the mission of Heart City Health.
  12. Previous supervisory experience required.

Physical Requirements:

  1. May require some walking about and sitting at a computer for extended periods of time.
