What are the responsibilities and job description for the Executive Assistant position at Heartland Consulting?
We are seeking a highly motivated and detail-oriented individual to provide operational and administrative support across various branches and sections, ensuring efficient execution of duties and seamless communication within the organization. This position will directly support the AFWERX Director and Director's Staff.
Key Responsibilities:
- Assist in overall Division/Branch/Section operations, including communication and coordination with internal and external organizations through various methods.
- Develop and process reports, written communications, and coordination packages for review and finalization.
- Support the digital enablement of survey administration.
- Manage, maintain, and modify organizational calendars and schedules as needed.
- Assist in Electronic Records Management activities.
- Plan, coordinate, facilitate, and execute organizational meetings, including room reservations and seating arrangements.
- Track, monitor, and report task assignments and ensure timely completion of all suspense items.
- Provide full support in travel management, including booking, itinerary planning, and logistics.
- Provide high-level administrative support by conducting research, preparing statistical reports, and handling information requests.
- Perform routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
- Train and supervise lower-level Administrative Specialists.
Qualifications:
- Bachelor's degree in a relevant field.
- Proficiency in workflow and project management tools such as Smartsheets, Google Workspace products, and Office 365.
- Strong ability to synthesize and format talking points, briefings, presentations, and meeting notes into concise and effective communication deliverables.
- Experience in creating visual products such as 1-pagers, infographics, and social media posts to support division-specific needs.
- Excellent organizational and multitasking skills with the ability to work in a fast-paced environment.
- Strong written and verbal communication skills.
- Prior experience supporting a government or military organization is a plus.
- Active Secret Clearance required.
