Title: Volunteer Facilitator I

Location: 4822 N Broadway, Chicago, IL 60640

Schedule: Hybrid, Monday to Friday (8:30am-5:00pm)

Summary:

This position is responsible for the development and coordination of the volunteer recruitment, management, and training program for Refugee and Immigrant Community Services (RICS) volunteers. The purpose of this position is to support RICS programming through the use of volunteers and may include providing direct instruction to program participants. Individual accountabilities and work volume will be established through the development of annual Success Objectives within the framework outlined below.

Duties & Responsibilities

  • Provides direct instruction as needed for the volunteers.
  • Works with RICS staff to build out and maintain infrastructure for volunteer management.
  • Develops new volunteer initiatives as needed to complement RICS programming.
  • Develops and coordinates the recruitment program for volunteers at Refugee and Immigrant Community Services
  • Oversees volunteer and intern recruitment campaigns, including generating and distributing recruitment materials with the direction of program staff.
  • Fosters relationships between staff, volunteers, and clients.
  • Handles all volunteer inquiries, guiding individuals through the onboarding process, which includes training, background checks, completing required paperwork, and connecting them with relevant program staff.
  • Interviews all volunteers who have completed the initial application steps and submitted background check to ensure full vetting of all new volunteers and that they understand position responsibilities and commitment.
  • Coordinates background checks and other necessary paperwork for new volunteers.
  • Complies with RICS policies and procedures including but not limited to privacy and confidentiality considerations and appropriate professional boundaries in keeping with participant/volunteer services policies and procedures.
  • Meets with program coordinators to plan and lead relevant volunteer training.
  • Assists departmental staff with the recognition of volunteers and kind donors.
  • Maintains and updates volunteer files and database.
  • Ensures volunteer hours are recorded across RICS programming and report volunteer hours to DECM
  • Participates in Agency and departmental committees as assigned.
  • Participates in program and operational planning and development.
  • Other duties may be assigned.

Education and Experience:

  • Bachelor’s Degree from an accredited institution of higher learning in social work, education, psychology, or related field required.
  • Minimum one (1) year of related experience is required.
  • Previous experience working with volunteers is preferred.

Knowledge/Skills/Abilities (K/S/A):

  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills and demonstrated ability to communicate effectively with individuals and groups, including but not limited to public speaking and presentation skills. Ability to multi-task and maintain organization. Excellent attention to detail. Demonstrated experience interacting with diverse individuals and communities.
  • Access to reliable transportation required. This position involves in-person meetings with community partners in Chicago and the suburbs.
  • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders.
  • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner.
  • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability.
  • Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Human Care Services.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work independently and remain self-motivated with minimal direct supervision.
  • Strategic thought partnership and consultancy skills.

Work Arrangement:

This role is eligible for a “hybrid” or “remote” work arrangement. If hybrid, it is expected this person would be able to meet for “in person” meetings when needed or at the request of others. In-person meetings may be required on a regular basis (weekly, monthly, etc.). There may also be the availability to work from home when appropriate.

Work Environment:

  • The noise level in the work environment is usually moderate.
  • Requires flexibility to travel to multiple sites and local venues throughout the Chicago area.
  • The employee is occasionally exposed to outside weather conditions.

Physical Demands:

  • While performing the duties of this job, the employee is regularly required to talk and hear.
  • The employee is regularly required to sit, stand and walk.
  • The employee must be able to stoop, kneel and/or crawl.
  • The employee is regularly required to use hands to key, handle, or feel and reach with hands and arms.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • The employee must have unrestricted ability to provide physical restraint.
