What are the responsibilities and job description for the Clinic Receptionist position at Hearts and Hands Therapy Services, Inc.?
Hearts and Hands Therapy is a growing pediatric therapy clinic, offering complete therapy services for children with special needs. We are looking to hire a full-time receptionist to assist with makeup and reschedule appointments, lobby management, client communications, and parent needs. This position entails front desk and scheduling responsibilities such as greeting patients and families, checking them in for appointments, assisting patients in the waiting room, collecting copayments, answering questions from families and directing them to the right answer/person, and correspondence with new and existing patients, such as phone and email follow-ups and reminders. A large portion of the job duties include interfacing with families and clients, coordinating makeup appointments and reschedules, and supporting the therapy team with client calendar management. There may be other administrative tasks or independent projects in the downtime. This person will keep the waiting room tidy and clean, will be the “first smile” that families see, and most importantly, will provide customer service by connecting with patients and families while they wait for their appointments. Welcoming patients, building rapport with families, assisting with pickup/drop off, making outgoing client phone calls, and serving as a helpful, knowledgeable point of contact are the key responsibilities.
Our patients are children with varying degrees of physical or mental special needs, who we support through therapy services and a family-centered approach. Our patients look forward to familiar, friendly faces in our clinic. Unlike a normal physician’s office or waiting area, our office is active, lively, and full of noise that can be distracting or stressful – the person in this position must be comfortable working in an active pediatric environment, adapting to the unique personalities of our patients, and able to focus when there are distractions.
This position works closely with the administrative team to communicate about clients and services, will become familiar with our families, staff members, and services offered, and will be expected to take on supportive projects for the clinic. Ability to collaborate with the administrative team and self-manage projects is a must. They will be reporting to the operations manager and must be able to collaborate across these departments about patient and parent questions, concerns, or changes.
Requirements:
-Strong customer service skills. Experience in a customer-oriented field required.

Pay: $18.00 - $20.00 per hour
