Responsibilities
The Associate Project Management role is key in driving the day-to-day documentation, project planning and supporting momentum of the Hearts & Science Business Operations team. The position will be accountable for supporting team goals and objectives while working cross-functionally to deliver our brands’ vision. Reporting to the Associate Director of Business Operations, the Associate embodies our agile mindset to translate this to projects across the Hearts & Science organization. The role entails fostering collaboration across agency teams to deliver quality work, designing process optimizations, and archiving retrospective learnings for future success.
The Associate, Project Manager will work to assist with project work, monitor and document progress, and manage project retrospectives. The ideal candidate is confident, adaptive, energetic, inquisitive, and a self-starter; passionate and driven while having great attention to detail; a clear and confident communicator, proactive in their approach and able to plan ahead in order to mitigate risk. Truly dynamic, highly personable, and capable of delivering better business outcomes. Comfortable working independently and with a group of varied senior and junior colleagues, and able to adjust priorities without skipping a beat.

Compensation Range
$45,000—$45,000 USD
This role is hybrid, requiring three (3) days per week in the office. The remaining two (2) days may be worked remotely. Specific in-office days will be discussed during the interview process, with flexibility to align with team needs. Please note that the number or required in-office days may be adjusted over time, potentially increasing the number of required in-office days based on business needs.

Core responsibilities include, but are not limited to the following:
- Maintaining the Hearts ways of working, including a commitment to documentation, and project library maintenance
- Partnering with leadership, business, and client teams to translate client business objectives into agency success measures
- Documenting project workflows
- Supporting the build and maintenance of client roadmaps
- Overseeing project progress, identifying roadblocks, and communicating to stakeholders across the organization
- Efficiently tracking project plans and deliverables, ensuring product and work quality across teams responsible for contributing
- Defining, delivering, and reporting out on roadmap objectives
- Leveraging work processes, utilities, tools, templates, and ways of working to help business and client teams become self-sustaining
- Participating in internal and external client meetings
- Ability to effectively communicate and work with various functional teams across the organization
- Multi-task across various projects and deliver on tight deadlines
- Share best practices with fellow project managers across clients
- Anticipate needs of the team while being a team player
- Experience or interest in media, advertising/marketing, or consulting and a solid track record of successfully managing projects from start to completion
- Previous project management experience a plus
- Knowledge of agency process, media planning and execution or creative production and how they work together
- Excellent communication and organizational skills
- Analytical thinking and problem-solving
- Advanced knowledge of Microsoft Excel (PivotTables, vLOOKUPS, writing formulas) required
- Jira, Confluence, SmartSheet and/or Hive preferred
