What are the responsibilities and job description for the Office Administrator position at Heartwood Tax Consultants?
Heartwood Tax Consultants is devoted to client service, providing tax planning and return preparation for individuals, trust and estates, partnerships and small businesses. Job Duties:
- Electronically manage, organize, and update relevant client data
- Perform general administrative duties such as answering phone calls, responding to emails and managing office correspondence
- Organize client workpapers and distribute to appropriate personnel, update files as new information comes in
- Process and assemble completed tax returns & signature forms for client delivery
- Run errands as needed including but not limited to replenishing office supplies, mailing packages and picking up staff meals during busy season. Reliable transportation is required
- Other duties as assigned
- Preferred schedule is 20-25 hours/week during tax season, flexible otherwise
Skills, qualifications and experience:
- Attention to detail and ability to maintain organization
- Minimum two-year degree or two years of administrative experience in a professional services environment
- Ability to communicate effectively
- Excellent written and verbal communication skills
- Ability to maintain confidentiality of all client information and documents
- Microsoft Office: 2 years (required)
- Familiarity with tax documents/tax preparation (preferred)
