Position Summary
The Office Coordinator is responsible for performing clerical tasks to support daily administrative processes. Duties include daily support to executive and admin staff, assisting Administrative Manager, maintaining databases, ordering supplies, and support to other departments as needed.
Position Responsibilities
In general, the Office Coordinator’s role consists of the following:
- Perform general office duties such as ordering supplies, maintaining records management database systems.
- Assist with requesting certificates of insurance for corresponding projects.
- Prepare reports, memos, letters, statements, and other documents.
- Prepare agendas and make arrangements, such as coordinating catering for luncheons and other meetings.
- Answer, screen and forward incoming Operator phone calls between the hours of 8AM – 5PM, Mon - Fri.
- Prepare outgoing packages and labels.
- Maintain stock of paper, office supplies and printer toner/ink.
- Maintain company phone/email lists.
- Maintain retiree, employee, customer and vendor mailing lists.
- Provide clerical support to other departments.
- Respond to inquiries and requests for information requiring knowledge of departmental and company policies and procedures.
- Ring Central VOIP user management.
- Assist with IT Help Desk Requests from employees.
- Assist with Concur (Visa) Reporting/Coding Requests.
- Assist with fuel card support.
- Appruv, Avetta, ISNetWorld requests for connection/documentation.
- Manage scheduled shredding services and archived document storage.
Position Requirements
- Bachelor’s Degree preferred.
- Must have a clean valid drivers’ license.
- Excellent communication skills with the ability to propose clear, compelling and value- focused solutions.
- Excellent time-management skills with the discipline to handle multiple tasks and adapt quickly to change in a fast-paced environment.
- Ability to work effectively with minimum supervision to meet deadlines.
- Be courteous and professional with excellent organizational and communication skills.
- Must be proficient with computers. (Excel, Word, Outlook, Power BI, Adobe Acrobat Pro, Sage 300)
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Must be able to access and navigate each department at the organization’s facilities.
