POSITION SUMMARY
Performs all administrative functions supporting the activities of Hoffman SummerWood Community (SummerWood). Carries out projects including letter writing, maintains current member and business contracts, maintains and generates statistical reports, generates meeting agendas and maintains minutes of the same, and maintains record keeping under the direction of the Executive Director. Performs special project assignments as needs
RESPONSIBILITIES
- Screens phone calls and visitors to the Executive Director and takes complete and accurate messages, delivering them on a timely basis.
- Prepares letters and other correspondences for the Executive Director.
- Runs business related errands as necessary.
- Maintains accurate, current and confidential files for all work related to the Executive Director and Member Services Coordinator.
- Organizes incoming, outgoing, and intra-office mail for the Executive Director.
- Completes the Front Desk Schedule. Arranges for Front Desk coverage.
- Maintains the manuals and handbooks under the direction of the Executive Director.
- Assures current policies are posted in the SummerWood shared file and the intranet.
- Maintains computerized databases of Excel statistics (performance indicators, fall
- stats).
- Sends meeting notices, solicits agenda items, prepares and distributes agendas, and verifies attendance prior to and during meetings (Care Group, Quarterly Staff).
- Records, compiles and distributes meeting minutes.
- Maintains all meeting records.
- Maintains contract books by filing new contract and renewals, obtains signatures and approvals of incoming and outgoing contracts, tracking expiration dates and assuring continuance of contract period, maintains log of contracts, without having contract periods lapse.
- Prepares, coordinates, and tallies the results of the annual satisfaction surveys.
- Prepares and coordinates completion of surveys from Federal, State and local
- agencies.
- Updates the weekly events on the VCTV computer under the direction of the Manager of Activities.
- Assists the Director of Community Relations with the SummerWood newsletter.
- Carries out projects, research, documentation and record keeping as directed by the Executive Director.
- Utilizes effective communication with all staff, managers and community.
Qualifications
- High School graduate; Associate degree or bachelors degree preferred.
- Two (2) years of office or administrative experience required.
- Proficient in Word, Excel, Outlook and PowerPoint.
- Spread sheet development and knowledge of use of office equipment required.
- Must possess a high degree of interpersonal relations skills and capability of relating to a variety of people and personalities.
- Ability to manage multiple tasks/deadlines.
