Primarily provides technical and administrative assistance to Estimators. Additionally, the Estimating Coordinator will support the Preconstruction Team, Project Managers and Marketing Team.

- Bid Coordination & Distribution – Coordinate with Estimator:
- Set up the bid file in Procore and S Drive.
- Time-stamping and tracking all incoming plans, specs, and print materials.
- Upload plans and specs into Procore and S Drive.
- Develop bid invitations for distribution. Follow-up with Subcontrctors' bid invitation distribution with telephone confirmation of intent to bid
- Confirm adequate coverage of each bid package.
- Maintain accurate and up-to-date vendor listing.
- Preliminary plans and specifications review.
- Takeoffs using estimation software.
- Create scope sheets for relevant project scopes.
- Preliminary review and qualification of subcontractor bids
- Discuss the scope of work with specialty contractors and create bid RFI’s as necessary. Maintain a RFI log.
- Maintain current bid status and participant status for each project.
- Distribute addenda to subcontractors/suppliers.
- Work on multiple projects at a time to carry out Bid Coordination duties.
- Schedule site visits as required and document site conditions.
- Become proficient in and utilize Procore wherever necessary.
- Provide administrative assistance.
- Maintain accurate and up-to-date vendor listing.
- Attend preconstruction meetings and take meaningful and comprehensive notes. Create Meeting Agendas, Meeting Minutes, Drawing Logs, RFI Logs in Procore. Distribute to the appropriate parties in a timely, accurate and professional manner.
- Generate Spreadsheets of key project contacts and distribute to all related parties.
- Set up project framework in Procore: entering Subcontractor, Consultant, Architect and Owner/Owner’s Rep contact information into database.
- Keep and maintain Action Items List with necessary back-up sketches, drawings and changes.
- Assist in setting-up job kick-off meetings including, but not limited to:
- Making conference room arrangements on or off-site.
- Setting up virtual meetings and sending meeting invitations.
- Creating and distributing Meeting Agenda utilizing Procore.
- Gathering all plans, specifications and reference materials as necessary.
- Creating Display Boards of Schedules and Site Logistics.
- Having sign-in sheet ready and collect contact information of all meeting attendees.
- Internship and/or prior work experience preferred but not required.
- High School Diploma or General Education Degree (GED) required.
- Bachelor’s degree in Construction Management, Business Administration or Civil Engineering preferred.
- Proficient knowledge of Microsoft Office, On-Screen Takeoff, Bluebeam, and Timberline estimating required.
- Reliable transportation and a valid, Florida Driver License required.
- Ability to sit with back at a 90-degree angle for up to 8 hours per day.
- Ability to look at a computer for up to 8 hours per day.
- Full dexterity of wrists and fingers required with repetitive motions.
- Ability to occasionally lift, push, pull or carry up to 30 pounds.
- Ability to regularly lift, push, pull or carry up to 10 pounds.
- Ability to navigate a construction site including uneven walkways, crawl spaces, etc.
- Ability to occasionally lift files, open filing cabinets and bend or stand on a stool as necessary.
