Job Summary:
At Heglar Creek Homes, we are seeking a detail-oriented and highly organized Personal Assistant to support and enhance day-to-day operations. The ideal candidate is proactive, adaptable, and thrives in a dynamic environment. This role is essential in helping the team stay efficient and focused by managing schedules, communication, and various administrative tasks.
Responsibilities:
- Manage daily schedules, appointments, and travel arrangements
- Handle incoming calls, emails, and other communications with professionalism and discretion
- Coordinate meetings, take detailed notes, and manage follow-up tasks
- Perform bookkeeping tasks such as tracking expenses, reconciling accounts, managing invoices, and assisting with financial recordkeeping
- Monitor and track job progress to ensure accurate and timely invoicing based on project milestones and completed work
- Assist with personal errands and tasks as needed to support overall efficiency
- Maintain organization of digital files, documents, and reports
- Provide administrative support for special projects and events
- Liaise with vendors, contractors, and service providers as needed
- Run occasional errands and manage local tasks for the team
- Ensure confidentiality and a high level of discretion in all matters
Qualifications:
Required:
- High School Diploma or equivalent
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Proficiency in Google Calendar and Google Workspace (Docs, Sheets, Drive, etc.)
- Ability to multitask and prioritize tasks effectively
- High level of professionalism and reliability
- Valid driver's license and reliable transportation
Preferred:
- Previous experience in a personal assistant or executive assistant role
- Familiarity with residential construction or real estate industry
- Comfort working in a fast-paced and evolving environment
