Job Summary
Heimark Distributing is looking for a motivated and reliable Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers, customers and employees and assisting in daily office and general administrative activities of the company.
This is a full-time position in the Indio office. Typical start time is 8:00 a.m. Monday through Friday.
Responsibilities
- Answering incoming phone calls, assisting sales personnel with their customer orders and other customer service tasks
- Process EDI invoices and orders
- Perform accounts receivable functions including posting payments, preparing deposits, reconciling electronic payments
- Perform the duties of the cashier as needed to reconcile and close the daily invoices
- Perform various daily administrative tasks including sending packages, sorting mail, and other tasks as needed
- Other administrative activities and special projects
Requirements
- High School Diploma or Equivalent
- Previous experience in an office environment required
- Must be reliable to work 40 hours a week. Hours will generally be Monday Friday 8:00am-5:00 but will occasionally be 9:00am-6:00pm.
- Knowledge of computer and Microsoft Office skills (including Excel and Word)
- Ability to complete tasks in a timely manner and understand urgency and deadlines
- Excellent written, verbal, interpersonal and communication skills
- Detail orientated with strong organizational skills
- Quick learner, easily trained and adaptable to changing environments
- Strong problem-solving and analytical thinking skills
- Strong team player and willingness to help others
- Bilingual is a plus but not required
