Owner Experience & Relationship Management:
- Act as the primary liaison for property owners, ensuring clear, consistent, and professional communication.
- Manage new owner onboards and build relationships through connection, expectation setting, and partnering on goals and service outcomes.
- Review and triage maintenance requests to ensure owner’s interests are maintained in maintenance decision making.
- Develop strong relationships with property owners, understanding their investment goals and ensuring our services align with their needs.
- Proactively check in with owners to review portfolio performance, address concerns, and provide updates on key property matters.
- Manage expectations regarding financial performance, maintenance, and property conditions.
- Handle escalated owner concerns with a solution-oriented approach, ensuring prompt resolution and client satisfaction.
- Track and enhance owner satisfaction through communication, service delivery, and relationship management.
Other Property Management Responsibilities:
- Work closely with property managers to ensure seamless service delivery and alignment with owner expectations.
- Partner with the leasing, accounting, and maintenance teams to streamline communication and service execution for owners and ensure company standards are upheld in the owner’s experience.
- Cross-train with other property managers to provide support and backup where needed/appropriate.
- Address escalated move outs and manage larger projects that need to happen last minute during turns. Escalated turns become a larger owner issue so they need more tension from the owner side.
- Attend court cases, eviction hearings, and manage other escalated legal matters as needed.
Portfolio Performance & Reporting:
- Conduct regular owner meetings to review financial reports, maintenance planning, and overall property performance.
- Provide insights and recommendations on capital improvements, rental pricing, and cost-saving strategies.
- Track key performance indicators (KPIs) related to owner satisfaction, property performance, and service delivery.
- Identify and implement improvements to enhance the overall owner experience.
- Manage collections accounts to maximize owner cash flow.
Process Improvement & Service Quality:
- Continuously assess and refine communication processes to enhance owner engagement and satisfaction.
- Develop and implement best practices for proactive issue resolution and owner education.
- Work with leadership to improve internal workflows that impact the owner experience.
- Ensure compliance with all property management agreements, lease terms, and regulatory requirements.
Qualifications & Skills:
- 5 years of experience in property property management, client relations, or a related field.
- Strong understanding of property management operations, leasing, and maintenance.
- Excellent communication and interpersonal skills, with the ability to build and maintain strong client relationships.
- Problem-solving mindset with the ability to address concerns professionally and efficiently.
- Ability to analyze financial statements and property performance data.
- Proficiency in property management software (e.g., AppFolio, Yardi, Buildium) and Microsoft Office Suite.
- Highly organized with strong time management skills.
- Ability to work collaboratively with cross-functional teams.
- A customer-first mentality with a passion for delivering exceptional service.
- Experience in real estate, property management, or investment property services preferred.
- Knowledge of local rental market trends and property regulations preferred.
