Job Title: Assistant Property Manager
Job Type: Full-Time
Schedule: Monday – Friday, 8:30 AM – 5:30 PM (1-hour lunch)
Job Summary:
We are seeking a highly motivated and organized Assistant Property Manager to join our team. The ideal candidate will have strong communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. This role involves working closely with tenants, homeowners' associations (HOAs), and the property management team to ensure smooth property operations.
Key Responsibilities:
- Greet customers and provide exceptional customer service.
- Show available rental units to prospective tenants.
- Answer phone calls and respond to inquiries from prospective and current tenants.
- Process move-ins and move-outs, including completing inspections and preparing billing lists.
- Create and manage rental listings for available units.
- Assist in HOA management, including communication with homeowners, coordinating meetings, enforcing HOA rules, and maintaining records.
- Prepare and distribute notices, newsletters, and other communications for tenants and HOAs.
- Maintain accurate records of tenant communications, lease agreements, and HOA documentation.
- Notify tenants about upcoming unit showings and complete rental references for previous tenants.
- Assist with financial tasks such as processing rent payments, preparing invoices, and tracking HOA dues.
- Participate in the emergency phone rotation (typically once a month for a week at a time).
- Support management with additional administrative and operational tasks as needed.
Qualifications:
- Experience: Previous experience in property management, HOA management, leasing, or administrative support preferred.
- Skills: Strong organizational, communication, and problem-solving skills.
- Technology: Proficiency in Microsoft Office (Word, Excel, Outlook) and property management software preferred.
- Other: A positive attitude, ability to multitask, and commitment to excellent customer service.
