We’re looking for a US People Operations Generalist who is passionate about creating exceptional employee experiences, thrives in a fast-paced environment, and enjoys leading by example. You will support HeliosX in all generalist HR administrative activities, ensuring the smooth delivery and coordination of our people processes.

The Opportunity
We’re looking for a US People Operations Generalist who is passionate about creating exceptional employee experiences, thrives in a fast-paced environment, and enjoys leading by example. You will support HeliosX in all generalist HR administrative activities, ensuring the smooth delivery and coordination of our people processes.
What You'll Be Doing
- Coordinate day-to-day operations including; benefits, absences, and terminations
- Ensure all employee data is up to date and conduct frequent audits of HR activities to ensure compliance with local legislation
- Prepare and manage all new starter information/documents in accordance with local compliance and legislation
- Coordinate our on-boarding and off-boarding processes, working closely with managers across the business to ensure a great and consistent experience for our people.
- Create relevant profiles on our people systems (Bamboo accounts, Lattice setup and supporting probation processes).
- Ensure the smooth running of workplace operations, (office and remote), e.g. health & safety, security, maintenance, etc) leveraging external suppliers as required
- Coordinate with our wider People team and outside counsel when and if required on immigration and visa applications
- Act as the first point of contact for day-to-day workplace support
- Draft and coordinate all supporting HR documentation around employee changes, i.e. probation, promotion, and disciplinaries
- Support the wider People team in note-taking employee relations meetings/issues when required
- Support on the quarterly engagement survey process to ensure we are collecting up to date feedback from our employees on their experience
- Be the point of contact for office ops related queries and requests
- Support with US team equipment audits, inventory and return upon leaving
- Assist with US Compliance: I9 audits, EEOC-1 form submissions
- PTO enhancement and accrual change exercise
- PTO/ leave management (possibly)
- Assistance with employment verification of new starters (E-Verify), references and background checks
- Payroll support (calculations for paid holiday submissions etc.)
- Assistance with facilitating departmental team-building events and engagement activities
- Scheduling and tracking of employee participation in training programs, and mandatory compliance areas
- You have a minimum 1 year of experience in HR administration or people operations/coordination roles
- Desirably, you have education to a degree level in a business/HR relevant subject
- You show proven experience organizing events in multiple diaries (we use Google calendar and the Google Suite)
- You have experience in working within Tech a startup as an advantage
- Outstanding organizational and time management skills, with a keen eye for detail.
- Strong interpersonal skills and a deep ability to understand what motivates others
- Excellent written and verbal communications skills
- Strong ability to prioritize actions and tasks
- Willingness to do whatever it takes to get the job done, no matter how big or small
- Ability to write and communicate verbally in a compelling manner
