Job Summary:
Responsible for the overall management and fiscal operations of the community and high quality of resident care and services in accordance with professional standards, state and federal rules and regulations, and operational policies. The Executive Director plans, organizes, and directs all administrative duties delegated by Hellenic Senior Living.
Job Duties/Responsibilities:
· Manage the day-to-day operations of the community.
· Assure that there is sufficient staff to provide appropriate resident care and services.
· Encourage the promotion of customer service with all department heads and staff.
· Promote respect for the personal dignity and individuality of residents, and respect for their legal rights to quality care, kind treatment, personal comfort, personal choice, and personal privacy. Keep information about them confidential at all times.
· Promote occupancy development in conjunction with the marketing plan and goals established and recorded.
· Participate in all admission decisions and consult with the Regional Director of Operations or Resident Service Coordinator before rejecting any move-in.
· Involve the community in community affairs and takes an active part in civic organizations; be not only concerned with the community inside the building, but also engaging the community outside of the building.
· Address resident complaints daily to assure prompt follow-up by appropriate staff, per the Grievance Procedure.
· Recruit, interview, hire, train, and evaluate department heads; and consult with the Regional Director of Operations when recruiting key administrative staff.
· Positively promote employee programs and encourages staff participation.
· Follow and promote appropriate employment practices for pre-screening, hiring, and firing employees.
· Work with department heads to promote cooperation, leadership, communication, and budgetary skills.
· Participate in budget development, oversees fiscal management according to budgetary parameters established, and monitors departmental compliance.
· Monitor and approve purchases of equipment and supplies according to the appropriate procedures.
· Consult with corporate representatives regarding building upkeep and maintenance.
· Monitor accounts receivables and any necessary follow-up.
· Educate department heads about inspection surveys, their departments’ regulations, and the important role of compliance for community success and licensure.
· Coordinate the timely completion of inspection survey responses in consultation with affected departments and with the Regional Director of Operations.
· Assure that the community maintains appropriate clinical, financial, and employment records that comply with record-keeping standards, laws, operational procedures, and privacy laws.
· Monitor the security of all records maintained in offices, files, and computers.
· Follow and enforce operational policies for community computer systems and those with access to them.
· Conduct morning meetings to discuss census changes, staffing, or other operational issues.
· Perform frequent inspection tours of the building to observe appearance, cleanliness, safety, staff performance, and staff interactions with residents.
· Conduct or delegate committee activities, reviews and approve the minutes of these meetings, and monitor any follow-up needed.
· Participate in policy development and monitors the location and security of all manuals.
· Attend company meetings or other training and meetings to be informed about standards of care, changes in company policies or regulations, and to maintain professional licensure.
· Coordinate and document all formal investigations and maintain confidential files of these activities.
· Assures that a program/calendar of on-going Quality Assurance activities are conducted community-wide to monitor resident satisfaction, safety practices, and community compliance with regulations or operational policies.
· Review Resident Council minutes and directs follow-up by department heads.
· Appoint a responsible person to act in his/her behalf during any absence from the community.
· Communicate and cooperate with the Regional Director of Operations about operational issues.
· Complete timely reports required by government agencies or the Board of Directors.
· Promote compliance with accident prevention procedures, safety rules, and safe work practices to prevent employee injury and illness and control worker’s compensation costs.
· Assure staff is trained in fire and disaster policies and procedures, and that safety drills are conducted.
· Assure that there is follow-up of all unemployment claims.
· Monitor community incidents and complaints daily to identify those defined as unusual occurrences by State policy, reports such occurrences to the Regional Director of Operations and the Clinical Specialist, and notify the appropriate authorities when required.
· Enforce anti-discrimination and anti-harassment policies, promptly report allegations or complaints to the Regional Director of Operations and Director of Human Resources, and investigate these according to operational policies.
· Interact courteously with residents, family members, employees, visitors, vendors, business associates, and representatives of government agencies.
· Assure that all public notices required by law and regulations are posted, including a copy of the community’s most recent survey and response.
· Maintain a copy of the State and Federal Regulations that is accessible for reference.
Education/Qualifications/Skills:
· Must possess a current Residential Community Administrator’s license from the State of Indiana.
· Must possess and demonstrate a high degree of leadership, organizational ability, and communication skills.
· Knowledge of long-term care management, policies, budgeting, personnel management, and census development is required.
· A Bachelor’s degree in a health-care related field is preferred.
· Ability to read, write, and make simple mathematical calculations.
· Ability to understand and carry out instructions that are provided in written, oral, or diagram form.
· Have well-developed communication and interpersonal skills.
· Demonstrate expertise in a variety of long-term care concepts, practices and procedures.
· Have business experience and solid judgment to plan and accomplish goals; and to discern solutions to problems and obstacles that might deter the company from achieving its objectives.
· Ability to get along well with diverse personalities; tactful, mature and flexible.
· Ability to establish credibility and empower supporting members of management and staff.
· Ability to read, comprehend, and interpret regulations.
· Have basic computer skills and working knowledge of Microsoft Office programs.
· Must meet the state’s licensing requirements for the class of the vehicle being operated and have a valid license.
· Ability to maintain good attendance and attends mandatory in-service meetings.
· Availability to work overtime or on weekends if needed to complete duties.
· Is available to the community at all times to address issues and emergencies that may arise.
Physical Demands/Working conditions:
Ability to remain stationary 50-100%; position self to exert 10-30lbs of force or to move objects; move about to access office cabinets, machinery, etc.; operate a computer or other office machinery; frequently communicate and exchange accurate information; perceive visual acuity to operate office machinery; work around varying internal and outdoor environmental conditions such as temperature changes, noise, movement, atmospheric conditions, etc.. Climate-controlled and well-lighted environment with a smoke-free policy. Work in an office and throughout the building daily. Subject to interruptions and noise on a daily basis. Work at a computer terminal--trained in safe work practices to prevent injury. Low risk of exposure to infections--trained in hand-washing practices. May lift and transport but lifting-trained. Access to safety equipment to prevent injury.
