The Facilities Manager at Helping Hands Family will play a critical role in expanding autism services into new markets, as well as in ensuring that our services are provided in a professional and safe physical environment. This role will be responsible for overseeing all aspects of facilities management, including construction project management, supporting new clinic openings, and resolving facilities issues with vendors and landlords.

SPECIFIC RESPONSIBILITIES:

Facilities Maintenance and Issue Resolution:
- Implement an organized system of identifying and resolving maintenance and repair issues for all HHF clinics
- Run RFPs and manage delivery on HHF-owned facilities improvements (e.g., restroom additions, creation of additional rooms, new vendor implementation)
- Manage relationships with vendors and landlords and coordinate landlord repairs Conduct regular facilities surveys and walk-throughs

New Clinic Project Management:
- Assist, as needed, touring and evaluation of potential new clinic sites
- Manage the setup of utilities, furniture, fixtures, equipment, and signage
- Coordinate and track deliverables for cross-functional teams (e.g., Recruiting, Marketing, Compliance)to prepare clinics for opening
- Oversee general contractor selection and project timelines Interpret regulations as they apply to HHF projects

General Responsibilities:
- In-office (King of Prussia, PA) with travel to clinics as required
- Provide detailed and concise communication across all cross-functional areas
- Track project documents, including change orders, invoices, and payments
Skills and Competencies:
- Bachelor’s degree in a related field with 5 years of relevant work experience, or 5 years construction project management experience
- Excellent interpersonal, customer service, and problem-solving skills
- Detail oriented
- Proactive and independent
- Able to manage multiple projects simultaneously and work effectively under pressure
- Makes recommendations based on operational and business sense
Scorecard: The Facilities Manager will be evaluated on the following measures:
- Ticketing System: Develop requirements and recommend a facilities management work order / ticketing system – 3mo from start date

Vendor network: Develop and publish a matrix of facility contractors and vendors engaged by region – 6mo from start date
Efficiency in coordinating with cross-functional teams to prepare clinics for opening
- New Clinic Openings: Develop and maintain a tracker for internal and external deliverables in new clinic openings (~10-15 per year) – 3mo from start date

Scorecard: Implement a scorecard including – 9mo from start date:
- Work order resolution time
- Facilities management cost per square foot by clinic, region, and state
- Compliance with regulations (e.g., fire alarm / extinguisher checks, state Medicaid licensing inspections)
- Customer satisfaction score by clinic – surveyed quarterly
